Type of Employment: Fixed-Term Contract

JOB PURPOSE

Vendor Onboarding & Compliance

Manage and govern onboarding of qualified vendors, maintain an accurate and compliant vendor database,and support procurement processes to strengthen supply chain integrity.

Vendor Expansion & Capability Building

Develop and implement vendor expansion strategies to enhance divisional capacity, improve operational

efficiency, and support project and business goals.

JOB RESPONSIBILITIES

  • Develop and implement vendor expansion plan for critical categories by partnering with buyers to assess suppliers and apply strategic sourcing, ensuring a competitive, reliable, and cost-effective supply chain that drives sustainable business growth.
  • Coordinate and execute vendor expansion initiatives for Marine Repair and Heavy Engineering by collaborating with Category Management, Operation Procurement, and Production teams. Track progress, monitor key deliverables, and assess subcontractor readiness to ensure vendor capabilities align with upcoming project demands.
  • Facilitate and implement and ensure a streamlined onboarding process with proper vendor categorization by enrolling vendors into MMHE's database based on category relevance and qualification criteria to ensure vendors are matched to the right tenders.
  • Coordinate and oversee vendor registration and pre-qualification processes by coordinating technical assessments, financial health reviews, and quality assurance evaluations to ensure vendors meet organizational standards and regulatory compliance for quality, safety, and sustainability
  • Validate and ensure Minimum Technical Requirement (MTR) questionnaires and apply due diligence to validate vendor information, ensuring accurate categorization and alignment with project requirements
  • Facilitate and issue interoffice memos and formal communications to effectively convey management directives, introduce new policies, announce system launches, and share critical updates, ensuring vendors remain aligned with MMHE's operational goals and strategic direction.
  • Validate and monitor waiver registration process to ensure continuous compliance with established company procedures and governance, thereby preventing uncontrolled misuse.
  • Manage and facilitate vendor/subcontractor engagement sessions by collaborating with relevant departments such as QHSE, PMT, Corporate Communication, and Security to ensure alignment, enhance vendor relationships, and reinforce compliance and expectations across all business units.
  • Maintain and control close relationships with relevant parties (e.g., Local Authorities, internal and external customers, auditors) and Vendor/Subcontractor to facilitate smooth connection within parties to deliver the divisional objectives, as well as maintaining integrity in engaging such relationships.
  • Manage and maintain accurate vendor records across key platforms including SAP, CT2, and internal vendor databases, ensuring data integrity, consistency, and real-time accessibility for compliance reporting.
  • Coordinate system-related registration issues by liaising with IT teams and system administrators to troubleshoot and resolve system errors, enhancing system reliability and optimizing the end-user experience throughout the vendor registration lifecycle.
  • Develop and prepare reports using visual dashboards to highlight active vendor counts and onboarding trends, providing clear insights to support informed management decisions.
  • Monitor process efficiency in vendor registration by reviewing workflows, applying best practices, and assisting in automation efforts to help shorten registration timelines and enhance procurement operations.
  • Continuously enhance knowledge of vendor management, compliance requirements, and procurement processes by participating in training programs and workshops.
  • Provide on-the-job coaching and identify skill and knowledge enhancement required for development through internal and external training.
  • Technology Adoption: Stay updated on technological advancements in procurement and vendor management systems, and work towards implementing tools that streamline registration processes.

REQUIREMENTS

  • Degree with 3 years relevant experience in procurement, vendor management
  • Bachelor's Degree in Business Administration, Supply Chain Management, Procurement, or equivalent.
  • Fresh graduate; or 3 years experience in procurement, vendor management, or related field functions.
