Facilities Operations Process & CAFM

  • Support and manage Planned Preventative Maintenance (PPM) planning and execution in collaboration with facilities and operations teams.
  • Administer and maintain the Computer Aided Facility Management (CAFM) system, including ticketing, performance monitoring, and reporting.

  • Act as a subject matter expert for CAFM and facility ticketing systems, including new systems as they are introduced.

Environment, Health & Safety (EHS)

  • Maintain EHS policies, procedures, and documentation in line with regulatory and certification requirements.
  • Coordinate EHS training schedules and work with external health & safety vendors.
  • Support environmental monitoring, waste management, recycling reporting, and sustainability initiatives.
  • Act as a key point of contact for environmental and EHS audits.

Security & Physical Access

  • Support monitoring and reporting related to physical security controls within the data centre environment.
  • Work closely with facilities leadership and external security vendors on access control, security procedures, and audit requirements.

IT Asset, Procurement & Governance Support

  • Act as a coordination point for IT procurement, licensing, and asset management across multiple sites.
  • Support IT asset lifecycle management in collaboration with operations IT vendors and corporate IT teams.
  • Maintain accurate records to support compliance, audit, and governance requirements.

Operational & Financial Coordination

  • Support operational budgeting, purchase orders, invoicing, and customer billing related to facilities operations.
  • Liaise with operations, finance teams, and customers to ensure accurate tracking and reporting.
  • Prepare reports by collating, analysing, and summarising operational and compliance data.
  • Support ad-hoc operational and governance projects as required.

Requirements

  • Diploma or relevant professional certification.
  • 3–5 years of relevant experience, ideally within a data centre, critical facilities, industrial, or regulated operations environment.
  • Strong exposure to ISO management systems, particularly ISO 27001, ISO 45001, and ISO 14001.
  • Solid understanding of Environment, Health & Safety (EHS) requirements.
  • Experience with CAFM systems, PPM planning, and facilities ticketing workflows.
  • Strong documentation, process control, and audit support capability.
  • Technical understanding of IT security, IT governance, or IT networking is advantageous.
  • Strong organisational, planning, and time management skills.
  • Comfortable working across multiple stakeholders, vendors, and operational teams.
