Role Overview
The Assistant Finance Manager supports the Finance Manager in managing the full spectrum of finance operations, including Accounts Receivable, Accounts Payable, Fixed Assets, budgeting, management reporting, and compliance. This role plays a key part in ensuring accurate and timely financial processes, strengthening internal controls, and providing meaningful financial analysis to support business decision-making and sustainable growth. This position is based in Kulai, Johor.
Responsibilities
1. Accounts Receivable (AR)
- Support end-to-end AR processes, including billing, collections, reconciliations, and reporting.
- Ensure invoices are accurately prepared and issued in a timely manner in accordance with contractual terms.
- Monitor outstanding receivables, prepare aging reports, and assist with follow-ups on overdue accounts.
- Work closely with operations and commercial teams to resolve billing discrepancies and customer queries.
2. Accounts Payable (AP)
- Perform financial reviews of verified invoices to ensure compliance with approved purchase orders, agreements, and accounting policies prior to payment.
- Assist with timely processing of vendor invoices and payments.
- Support AP reconciliations and manage payment schedules to ensure accuracy and completeness.
- Maintain effective vendor relationships and resolve payment or documentation issues efficiently.
3. Fixed Assets (FA) Management
- Maintain and update the fixed asset register, supporting the full asset lifecycle.
- Assist with capitalization, depreciation, disposals, and periodic reconciliations.
- Prepare and provide supporting documentation for internal and external audits.
4. Budgeting, Management Reporting & Financial Analysis
- Assist in the preparation of monthly management reports, including P&L, balance sheet, and cash flow statements.
- Support annual budgeting and periodic forecasting exercises, including monitoring actual performance against budget.
- Perform variance analysis and provide financial insights to support management review and operational decisions.
- Maintain chart of accounts and cost centres to ensure accurate financial tracking and reporting.
5. Internal Controls, Governance & Process Improvement
- Support the maintenance and enhancement of internal controls across finance operations, capex, billing, and data centre-related activities.
- Conduct process and risk reviews, identify control gaps, and assist with remediation initiatives.
- Participate in internal and external audits, and support the development and maintenance of financial policies, SOPs, and documentation.
- Drive continuous improvement initiatives to enhance process efficiency, accuracy, and control effectiveness.
- Ensure alignment with HQ finance processes and compliance with Malaysian tax requirements, including Withholding Tax and Service Tax.
- Provide guidance and oversight to junior finance staff during daily operations and month-end closing activities.
- Collaborate closely with cross-functional teams such as Operations, Commercial, and Procurement.
Requirements
Education & Experience
- Bachelor's degree in Finance, Accounting, or a related discipline.
- 35 years of relevant operational finance experience, preferably within technology, data centre, engineering, or similar environments.
- Hands-on exposure to Accounts Receivable, Accounts Payable, Fixed Assets, budgeting, and management reporting.
