Universal Robina Corporation is looking for a Finance & Administrative Assistant.
What are the Job Responsibilities
Administrative Support
- Assist Finance Director with project-related administrative tasks, such as preparing reports, presentations, and correspondence.
- Maintain organized records of project documentation, including contracts, training materials, UAT and system specifications.
- Coordinate document flow between departments, ensuring timely review and feedback.
Scheduling and Coordination
- Assist to plan and schedule meetings, workshops, and training sessions.
- Ensure alignment of schedules to facilitate resource availability for critical project milestones.
- Track deadlines and assist the team in adhering to project timelines.
Communication Management
- Distribute financial project updates and key information to finance department stakeholders as directed by Finance Director, ensuring that all relevant parties are kept informed of progress, changes, and critical developments impacting financial operations. This will include ERP implementation projects too.
- Provide reminders and follow-ups to ensure tasks are completed on time.
Logistical Support
- Prepare meeting venues, including technology setup, materials, and refreshments as required.
- Manage travel arrangements for team members attending off-site training
Training Assistance
- Coordinate for Finance Department - training sessions, including scheduling, registration, and tracking attendance.
- Distribute training materials and provide administrative support during workshops.
- Compile feedback from training sessions and assist in analyzing results.
Problem-Solving and Adaptability
- Help troubleshoot administrative and logistical challenges that arise
- Adapt to dynamic project needs and support the team in finding efficient solutions.
Any other tasks
- Assist Finance Director on presentation materials (power point), report preparation (excel), data tracking and monitoring tasks
- Provide any other administrative tasks assigned by Finance Director for the Finance Department
What are the Qualifications
- Education: a degree in business administration, finance, accounting or business studies is preferred.
- Fresh graduates are encouraged to apply.
- Diploma holders are considered with minimum 3 years working experience in Finance Department
- Skills: Proficiency in Microsoft Office, strong organizational skills, excellent written and verbal communication, and attention to detail.
- Attributes: Ability to work collaboratively in a team environment, flexibility in managing changing priorities, and a proactive attitude.
Key Performance Indicators (KPIs)
- Accuracy and timeliness in preparing reports and documentation.
- Effective coordination of schedules and logistical arrangements.
- Positive feedback from stakeholders regarding communication and support.
- Successful organization of training sessions and workshops.
