REFORM is gearing up for a event in May 2026, and we're looking for a reliable, detail-driven Freelance Event Planner / Coordinator to help bring it to life. This role starts in February 2026 and will work closely with our team to plan, coordinate, and execute an event that brings together our people, partners, and creative community.
This is a hands-on role for someone who enjoys turning ideas into well-run, meaningful experiences from planning decks and timelines to on-ground execution.
What You Will Do
- Lead end-to-end planning and coordination for REFORM's upcoming event (pre-event to post-event).
- Translate event objectives into clear timelines, run sheets, and action plans.
- Coordinate vendors, venues, and partners, ensuring smooth communication and delivery.
- Manage logistics for an event of approximately 120 pax, covering multiple audience groups.
- Oversee on-ground operations and troubleshoot issues calmly and efficiently.
- Share regular progress updates and align closely throughout the project.
- Be available for coordination after office hours and on weekends when required, especially closer to the event date.
Who You Are
- Proven experience in event planning or event coordination (corporate, brand, community, or creative events).
- Highly organized, detail-oriented, and able to manage multiple moving parts.
- Strong communicator who can work confidently with internal stakeholders and external vendors.
- Comfortable working independently while staying aligned with a team.
- Calm under pressure, adaptable, and solutions-focused.
- Interest in culture, creativity, or community-driven events is a strong plus.
