Job Description

  • The Head of Systems is responsible for the end-to-end ownership, governance, stability, performance and continuous improvement of the organisation's business application systems.
  • The role will oversee key business-critical applications, including the UCD Core Financial System, AutoCount, XCally, and other financial, lending, collections, customer and operational systems.
  • Working closely with the Digital Transformation Team, the Head of Systems will provide in-depth knowledge of existing systems, assess business and technical impacts, support system integration and testing, and ensure newly implemented solutions are successfully transitioned into stable business-as-usual operations.
  • The role focuses primarily on business applications, system processes and related data, while infrastructure, servers, networks, telecommunications and end-user hardware remain outside the core scope, except where coordination is required.

1. Systems Strategy & Modernisation

  • Develop and maintain the organisation's business application systems roadmap in alignment with business objectives and digital transformation priorities.
  • Identify opportunities for system enhancement, integration, replacement or retirement.
  • Lead and oversee the modernisation of the UCD Core Financial System.
  • Evaluate technology solutions, vendors and implementation approaches based on business requirements, scalability, cost, risk and operational impact.
  • Prepare and present system investment proposals, risks, recommendations and improvement plans to Senior Management.
  • Ensure system enhancements and changes deliver measurable business value while minimising disruption to critical operations.

2. Application Ownership & Operational Performance

  • Take overall ownership and governance of the organisation's business application systems.
  • Ensure applications remain stable, reliable, secure, available and adequately supported.
  • Work closely with system vendors, UCD and the Digital Transformation Team to continuously improve system functionality, workflows, configurations and performance.
  • Identify and resolve system bottlenecks, recurring incidents, process inefficiencies and operational risks.
  • Maintain comprehensive system documentation, including system inventories, business rules, integrations, dependencies and support procedures.
  • Ensure critical system knowledge is retained within the organisation and is not overly dependent on individual employees or external vendors.
  • Oversee major incidents, issue resolution, business continuity and disaster recovery readiness for business applications.

3. Business Requirements & Delivery Governance

  • Act as the key liaison between business users, process owners, ITS, Digital Transformation teams and external vendors.
  • Translate business requirements into clear and practical system specifications and functional requirements.
  • Assess the impact of proposed changes across systems, processes, data and internal controls.
  • Prioritise system enhancements based on business value, operational requirements, risk and urgency.
  • Oversee the full delivery lifecycle, from requirements gathering and development through testing, deployment, implementation and post-implementation review.
  • Ensure appropriate governance, approvals, documentation and change-control procedures are followed.

4. Data & Systems Integration

  • Establish and maintain governance over system data quality, definitions, ownership and integrity.
  • Oversee integration between business applications, data warehouses and reporting platforms.
  • Ensure reliable and accurate data is available to support management reporting, analytics, automation and AI initiatives.
  • Support data migration, reconciliation, historical data retrieval and system transition activities.
  • Identify and address data gaps, inconsistencies and limitations within existing applications.
  • Ensure data flows between systems are reliable, accurate and properly controlled.

5. Digital Transformation Collaboration

  • Partner closely with the Digital Transformation Team on initiatives that impact existing systems, processes or data.
  • Provide expert input on existing system capabilities, limitations, business rules, dependencies and integration requirements.
  • Assess the operational and system impact of proposed transformation initiatives.
  • Support system integration, testing, cutover, implementation and stabilisation activities.
  • Ensure new solutions are practical, scalable, supportable and aligned with existing operational requirements.
  • Take ownership of newly implemented systems once they transition into business-as-usual operations.

6. Testing, Deployment & User Readiness

  • Oversee system testing, User Acceptance Testing (UAT), quality assurance and defect management.
  • Ensure defects are properly documented, tracked, resolved and retested before deployment.
  • Establish and confirm operational readiness prior to system go-live.
  • Ensure process owners and business users are adequately briefed and prepared for system changes.
  • Establish appropriate go-live, rollback, contingency and post-deployment support plans.
  • Monitor system performance following implementation and ensure issues are promptly addressed.

7. Team & Vendor Management

  • Lead, manage and develop the Systems Manager and Systems Support Team, providing clear direction, priorities and performance expectations.
  • Build strong internal system capabilities and ensure effective knowledge transfer within the team.
  • Manage relationships with key system vendors and technology partners.
  • Monitor vendor performance, service levels, issue resolution and delivery against agreed requirements.
  • Ensure appropriate vendor governance, documentation and escalation processes are maintained.

QUALIFICATIONS & EXPERIENCE

  • Bachelor's Degree in Information Technology, Computer Science, Information Systems or a related discipline.
  • Minimum 6–8 years of relevant experience in systems management, application management, technology delivery, project management or a related field.
  • Minimum 2–3 years of experience in a systems leadership or management role, with experience managing teams and/or technology projects.
  • Proven experience managing business-critical applications, preferably within financial services, lending, hire-purchase, collections or related industries.
  • Strong understanding of application lifecycle management, system development, testing, integration, data management and technology project delivery.
  • Experience in vendor management and third-party system governance.
  • Strong understanding of business process mapping, requirements gathering, system impact assessment and change management.
  • Experience with core financial, lending, collections or customer management systems will be highly advantageous.
  • Strong stakeholder management and communication skills, with the ability to work effectively across business, technology and external vendor teams.
  • Strong analytical, problem-solving and decision-making capabilities.
