Role Description The Hospitality Office Assistant is a full-time, on-site role based at the Royal Danish Embassy in WP Kuala Lumpur. The individual in this role supports daily office hospitality operations, including welcoming visitors, managing meeting room preparations, and coordinating refreshments and basic event setups. Responsibilities include handling incoming calls and inquiries, assisting with scheduling and logistics for meetings and delegations, and ensuring that common areas are tidy, organized, and ready for guests. The role also involves basic administrative tasks such as maintaining supplies, updating guest records, supporting internal staff with office services, and collaborating with colleagues to provide a courteous, efficient, and secure environment for all visitors.
Qualifications
- Strong hospitality and customer service skills, with the ability to welcome and assist visitors professionally and courteously.
- Office administration and organizational skills, including scheduling support, record-keeping, and managing supplies and meeting room setups.
- Effective communication skills in English (spoken and written); proficiency in Bahasa Malaysia and/or Danish is an advantage.
- Basic event coordination capabilities, including arranging refreshments, preparing venues, and supporting official functions.
- Proficiency with common office software (e.g., email, calendars, word processing, spreadsheets) and office equipment.
- Demonstrated reliability, attention to detail, and the ability to work in a diplomatic, multicultural, and security-conscious environment.
- Prior experience in hospitality, front office, or administrative support roles is highly beneficial.
- Relevant certificate, diploma, or degree in hospitality, business administration, or a related field is preferred.
