We are looking for an HR Admin and Compliance Officer to join us in our mission to contribute to a greener future. The role is based at our plant in Butterworth, Malaysia. By joining us, you will contribute to building the first large scale battery factories in Europe, Asia and the United States.
Key Responsibilities
We are looking for a detail-oriented HR Admin and Compliance Officer to provide administrative and compliance support to our global HR function. This role plays a key part in ensuring smooth HR operations, maintaining accurate employee records, supporting local teams, managing travel and expenses and helping monitor adherence to company policies on a global level.
The ideal candidate is highly organized, process-driven and comfortable working across multiple regions and stakeholders.
HR Administration
- Maintain and update employee records, HR systems, and documentation.
- Prepare contracts, letters, and HR-related paperwork.
- Support onboarding and offboarding processes.
- Ensure data accuracy and proper filing in line with company standards.
Compliance & Processes
- Support HR compliance activities across different countries (documentation, policies, audits).
- Track mandatory training, certifications and employee documentation.
- Assist with policy updates and process improvements.
- Monitor adherence to company policies, including employee conduct guidelines and internal procedures.
- Assist in verifying HR-related invoices and documentation for accuracy and policy compliance.
- Flag inconsistencies, missing information, or potential policy breaches to the appropriate stakeholders.
- Ensure HR practices align with internal guidelines and local requirements.
Travel & Logistics Support
- Coordinate employee travel bookings (flights, accommodation, visas where applicable).
- Track travel budgets and approvals.
- Manage expense submissions, ensure receipts are complete and follow up on missing documentation.
- Support employees with expense policies and reimbursement processes.
The ideal candidate has
- Previous experience in HR administration, people operations, office administration or travel/expense coordination.
- Strong organizational skills and attention to detail.
- Experience handling confidential information.
- Familiarity with HR systems and document management.
- Understanding of compliance and policy-driven environments.
