Job Description
Key responsibilities of this role involve managing a wide range of human resources functions, including office administrative and building management, employee relations, benefits administration, recruitment and onboarding as well as serving as a point of contact for employee concerns and questions.
1. Office Building Facility Management
- Manage building services, maintenance schedules, vendor performance, and related contracts.
- Support annual budgeting and cost monitoring.
- Provide assistant with IT coordination where required.
2. Foreign Worker & Expatriate Management
- Administer worker hostel facilities, including maintenance, tenancy renewals, and utilities.
- Ensure adherence to regulations governing foreign workers.
- Manage expatriate matters, including work permits, visa renewals, and statutory compliance.
3. Travel Management
- Ensure timely applications and renewals of visas, KITAS, and APEC cards.
- Coordinate comprehensive travel logistics, including flights, accommodation, and insurance.
4. Employee Engagement & Welfare
- Plan, coordinate, and execute activities to foster employee engagement and well-being.
- Support welfare initiatives that promote a positive workplace culture.
5. Compensation & Benefits
- Verify employee claims with accuracy and ensure timely processing.
- Review and validate panel clinic invoices to ensure correctness and cost efficiency.
6. Recruitment & Onboarding
- Support recruitment activities and ensure a smooth onboarding and orientation process for new hires.
7. Miscellaneous & Support Functions
- Provide support for Zoom meetings and basic IT-related tasks.
- Undertake ad-hoc assignments as directed by management.
Requirements:
- Diploma or Bachelor's Degree in:
- Human Resource Management
- Business Administration
- Management
- Psychology
- Accounting/Finance or another relevant field
- For a Senior Executive position, a Bachelor's Degree is more likely to be preferred.
- Relevant HR/Admin experience can sometimes compensate if your academic background is not directly related to HR.
- Ability to communicate effectively with internal and external stakeholders.
- Flexible in travelling within the state.
- Good in reporting and analytical skills.
- Ability to work independently.
- Multitasking and able to prioritize work.
