Key Responsibilities:

1. Recruitment & Onboarding

  • Manage end-to-end recruitment process: job postings, resumes screening, scheduling interviews, conducting background checks.
  • Coordinate new hire onboarding, including documentation, orientation and training.
  • Coordinate attendance & IT new set up for new employees.

2. Training & Development

  • Prepare a yearly training calendar.
  • Organise staff training, manage HRDC related submissions, and employee development initiatives.
  • Process and submit HRDC levy claims for training sessions.

3. General Administration

  • Oversee office facilities, supplies, and equipment to maintain an efficient and pleasant working environment.
  • Fully in charge of the office / building maintenance and cleanliness including coordinating with vendors, service providers and contractors for the related services.
  • Fully in charge of the company business license renewal.
  • Review and check monthly administrative invoices.
  • Manage the company car usage and ensure maintenance to be carried out as scheduled.
  • Manage the purchase of office stationeries and pantry supplies, track usage, replenish stock regularly, and ensure availability according to the given budget.
  • Handle renewal processes for company vehicle insurance, tenancy agreement and company property insurance.
  • Maintain an organized and systematic filling system for all documents.
  • Prepare reports as and when required.

4. Employee Engagement

  • Fully in charge of the employee engagement initiatives (e.g. surveys, Town Hall, TGIF events, etc).
  • Managing employee benefits programs.

5. Compliance & Policies

  • Ensure adherence to labor laws and company HR policies.
  • Handle disciplinary actions, grievances, and exit formalities.
  • Serve as a point of contact between HR and employees, providing general administrative and HR support.
  • Perform other ad hoc duties as assigned by the superior.

Key Requirements:

  • Bachelor's degree in Human Resources, Business Administration, or related field.
  • At least 1 to 2 years of related working experiences in HR roles.
  • Well versed in using office tools such as Google Workspace, Zoom and HR software.
  • Good knowledge of labor laws (e.g. Employment Act, EPF, SOCSO).
  • Strong organizational & multitasking abilities.
  • Excellent communication & interpersonal skills.
  • Able to work under pressure & tight deadlines.
  • Detail-oriented, proactive and able to maintain confidentiality.
  • Able to write & speak fluent English and Mandarin will be an added advantage.
