Position Overview
The HR & Admin Executive will be responsible for recruitment and administrative management for the company's operations in Malaysia. The key responsibilities include local employee recruitment, foreign worker recruitment, and employment compliance management, ensuring that the company's employment practices are legally compliant and its operations run smoothly and efficiently.
Key Responsibilities
1. Recruitment Management
- Manage the full recruitment cycle for local employees, including sourcing, candidate screening, interview coordination, offer management, and onboarding arrangements.
- Manage the full recruitment and employment process for foreign workers, including: Foreign worker quota applications through FWCMS Follow-up on JTKSM approvals VDR visa applications FOMEMA medical examinations PLKS work permit applications and renewals Levy payment Foreign worker insurance arrangements Accommodation arrangements Repatriation management upon completion of employment contracts
2. HR & Administration
- Prepare and manage employment contracts and maintain accurate employee records.
- Manage employee attendance, leave administration, and onboarding/offboarding procedures.
- Assist with monthly payroll processing and statutory submissions, including EPF, SOCSO, EIS, and PCB tax deductions.
- Handle daily office administration and liaise with relevant government departments and authorities.
3. Employment Compliance
- Monitor changes in Malaysian employment laws and regulations, as well as policies issued by the Immigration Department and Labour Department, to ensure the company remains compliant.
- Conduct regular internal compliance checks on foreign worker employment matters.
- Support government inspections, audits, and other compliance-related requirements.
Requirements
- Must have a valid legal status to work in Malaysia, such as Malaysian citizenship, permanent residency, or a valid work permit.
- 2-3 years of experience in Human Resources and Administration, preferably with experience in the F&B industry.
- Fluent in Chinese/Mandarin, with the ability to communicate effectively with Chinese-speaking management teams.
- Familiar with Malaysian employment regulations, including the Employment Act 1955, EPF, SOCSO, EIS, and PCB requirements.
- Hands-on experience in foreign worker recruitment and employment processes, with knowledge of FWCMS quota applications, PLKS applications, and renewals.
- Responsible, detail-oriented, and well-organised. Experience working with Chinese-invested companies or Chinese F&B chain businesses will be an added advantage.
