Abhidi is looking for an HR & ComplianceExecutive to support and expand the Malaysia HR Operations function. This role has been created to partner with the existing Malaysia HR resource, sharing ownership of a high-volume, multi-country HR operations and compliance workload spanning immigration, documentation, employee lifecycle, statutory compliance, and vendor management.
The successful candidate will be capable of owning end-to-end processes independently, comfortable operating in a fast-paced, deadline-driven environment with multiple simultaneous priorities, and confident liaising with government authorities, clients, and internal stakeholders.
Key Responsibilities
- Manage end-to-end immigration and visa processes — EP, DP, PVP, Special Pass, and Permission to Work — across multiple candidates simultaneously, including submissions via MDEC eXpats, MYXpats, and ESD portals, with continuous tracking, follow-ups, and direct liaison with authorities.
- Prepare, review, and control a high volume of HR and compliance documents across Malaysia, Thailand, Indonesia, Singapore, and India — including offer letters, increment and confirmation letters, immigration documents, and ad hoc letters — ensuring legal and country-specific compliance throughout.
- Own employee onboarding and offboarding end-to-end: manage records and MIS updates, coordinate payroll setup with Finance, handle exit documentation, and manage tax clearance for expatriate leavers.
- Manage insurance and medical benefits across all entities — additions, terminations, manual claims submissions, and annual policy renewals — while resolving employee queries on coverage and claims.
- Coordinate government and statutory compliance: JTKSM/PDKK/ePPax submissions, LHDN liaison, monthly statutory records with Finance, and DBKL business licence renewals.
- Manage Background Verification (BGV) cases via Neeyamo ScreenXchange — coordinating between candidates and stakeholders, reviewing reports, resolving discrepancies, and handling urgent onboarding dependencies.
- Handle POEA/MWO compliance and overseas worker documentation for Philippine-based hires, including preparation, review, and re-submissions.
- Maintain all operational trackers and government portals; act as the central coordination point across internal teams (Finance, HR Ops, Account Management) and external stakeholders (authorities, insurers, BGV vendor, banks).
What We Are Looking For
Qualifications & Experience
- Diploma or Degree in Human Resources, Business Administration, or a related field
- Minimum 2–3 years of HR operations or compliance experience, preferably in a staffing, consulting, or multi-national environment
- Hands-on experience with Malaysian immigration processes (EP, DP, PVP) and government portals (MDEC eXpats, MYXpats, ESD, JTKSM) is a strong advantage
- Prior exposure to multi-country HR documentation (Thailand, Indonesia, Singapore) is an advantage
