Job Description

Location: Balakong Jaya, Selangor

We are looking for a hands-on HR Executive with strong exposure in Industrial Relations (IR), Employee Relations (ER) and Recruitment. The role will focus on managing employee relations matters, supporting disciplinary and grievance cases, driving recruitment activities and providing HR support to HODs.

Reporting to the Assistant Manager, the role will also support payroll processing, administration, and employee lifecycle activities, ensuring smooth HR operations, accurate documentation and compliance with employment legislation and company policies.

What You'll Do

Industrial & Employee Relations – Key Focus

  • Handle employee grievances, disciplinary matters, investigations, and employee counselling.
  • Support Domestic Inquiry (DI) processes and prepare relevant documentation.
  • Advise HODs on employee-related matters, HR policies and employment legislation.
  • Prepare HR letters including show cause, warning, confirmation, transfer, promotion and termination letters.
  • Support performance management, conflict resolution and employee engagement matters.
  • Assist in employee exit exercises when required.

Recruitment – Key Focus

  • Manage the recruitment process from manpower requisition, sourcing, screening and interview coordination to offer and onboarding.
  • Work closely with HODs to understand hiring requirements and recommend suitable candidates.
  • Maintain candidate pipelines and ensure vacancies are followed up within agreed timelines.

Payroll & HR Administration

  • Support the monthly payroll process, including attendance, leave, overtime, allowances, deductions and employee movements.
  • Assist in checking payroll data and ensuring timely and accurate submission for processing.
  • Support statutory submissions and payroll-related documentation when required.
  • Maintain accurate and up-to-date employee records and personnel files.
  • Handle onboarding, offboarding and other employee lifecycle administration.
  • Support HR reports, audits and documentation requirements.

HOD & HR Operations Support

  • Support the Assistant Manager and HODs in day-to-day HR matters and HR-related projects.
  • Provide HR information, reports and practical recommendations to support management decisions.
  • Ensure HR practices and documentation comply with company policies and statutory requirements.

Digitalisation & Teamwork

  • Work closely with the team to ensure smooth daily operations and knowledge sharing.
  • Utilise AI tools such as ChatGPT, Microsoft Copilot and other digital solutions to improve HR productivity, reporting and administrative efficiency.
  • Identify opportunities to streamline and automate repetitive HR processes.
  • Perform other duties and projects assigned by Management.

Requirements

  • Bachelor's Degree in Human Resources, Business Administration or a related discipline.
  • 3–5 years of HR experience, with strong hands-on exposure in Industrial Relations (IR), Employee Relations (ER) and Recruitment.
  • Practical experience in handling disciplinary matters, employee grievances and Domestic Inquiry (DI) is highly preferred with good knowledge of Malaysian employment legislation and HR practices.
  • Exposure to performance management, termination, retrenchment, mutual separation or other employee exit/manage-out situations is an advantage.
  • Able to communicate confidently and professionally in Bahasa Malaysia, English and Mandarin, both verbally and in writing.
  • Mature, responsible and able to handle sensitive employee matters with good judgement, confidentiality and professionalism.
  • Good interpersonal, communication, negotiation and problem-solving skills, with the confidence to work with HODs, employees and management.
  • Digitally savvy and comfortable using AI tools such as ChatGPT, Microsoft Copilot or similar tools to improve HR productivity and efficiency.
  • Knowledge or experience in payroll processing and administration is an added advantage.
  • Willing to travel to Balakong and other locations when required. Must possess a valid driving licence and own vehicle for work-related travel.
  • Strong willingness to learn, take ownership and grow into a Senior HR role.
