Job Description

Job Summary

At Soft Space, we are building a modern, governance-driven, and technology-enabled Human Resources function that supports business growth through operational excellence, employee experience, and continuous improvement.

As a HR Executive / Senior HR Executive, you will play a key role in managing HR operations across the employee lifecycle while providing practical HR guidance to managers and employees, strengthening HR governance, supporting employee relations, and contributing to scalable HR practices.

This role is ideal for an experienced HR professional who enjoys improving processes, exercising sound judgement, building strong stakeholder relationships, and contributing to the continuous development of a modern HR function.

Key Responsibilities

  • Manage end-to-end employee lifecycle activities, including onboarding, confirmation, employee movements, contract renewals, resignations, and offboarding.
  • Prepare, review, and maintain HR documentation, employee records, templates, and correspondence to ensure accuracy, consistency, and compliance.
  • Provide practical HR guidance to employees and managers on HR policies, employment terms, employee lifecycle matters, and HR procedures.
  • Support consistent implementation of HR policies, SOPs, documentation standards, and compliance practices while identifying opportunities to strengthen HR governance.
  • Coordinate employee relations documentation, ensure timely and accurate records, and support the appropriate handling and escalation of employee matters in accordance with company policies and HR procedures.
  • Partner with hiring managers to coordinate recruitment activities and deliver a positive candidate and onboarding experience.
  • Coordinate employee engagement initiatives, learning programmes, and internal HR activities that enhance employee experience.
  • Work closely with people managers and cross-functional stakeholders to ensure timely and accurate execution of HR operational matters.
  • Provide day-to-day guidance and support to junior HR colleagues to strengthen documentation quality, operational consistency, and HR capability.
  • Contribute to HR process improvement, digitalisation initiatives, and the responsible adoption of approved AI-enabled productivity tools to enhance HR effectiveness.

Requirements

Education / Qualifications

  • Bachelor's degree in Human Resources Management, Business Administration, Law, Psychology, or a related discipline.
  • Professional certification or additional training in Malaysian Employment Law, Industrial Relations, HR Analytics, HR Technology, Process Improvement, or related disciplines will be an added advantage.

Experience

  • Practical experience in HR operations, employee lifecycle management, HR compliance, recruitment coordination, employee relations support, and stakeholder management.
  • Experience providing practical HR guidance to managers and employees.
  • Experience in technology, fintech, financial services, shared services, or other fast-paced organisations will be an advantage.

Technical / Functional Skills

  • Strong understanding of Malaysian employment practices, including practical application of the Employment Act 1955.
  • Experience supporting HR operations, policy implementation, HR compliance, and employee relations.
  • Ability to provide practical HR guidance while balancing compliance, business needs, and employee experience.
  • Proficient in Microsoft Office applications and comfortable using HRIS and digital workplace platforms.
  • Comfortable using HR technology, workflow automation, and digital productivity tools to improve operational efficiency and employee experience.
  • Demonstrates the ability to leverage approved AI-enabled tools responsibly to improve HR documentation, communication, reporting, and operational effectiveness while maintaining confidentiality and data security.
