As part of our global expansion, we are establishing our Malaysia office in Kuala Lumpur, and we are seeking a HR & Office Operations Executive to support the setup and ongoing operations of our local office.

This is an exciting opportunity to become one of the first team members in Malaysia and play a key role in building and supporting our local team.

Position Overview

The Human Resources & Administrative Officer will be responsible for supporting the day-to-day HR and office administration functions of our Kuala Lumpur office. The role requires a hands-on professional who is familiar with Malaysian employment regulations, capable of managing both HR operations and office administration.

The successful candidate will work closely with the global HR team headquartered in Sydney and help ensure smooth office operations while supporting the growth of our Malaysian team.

Key Responsibilities

Human Resources

Talent Acquisition Support recruitment activities including job postings, candidate screening, interview coordination, and onboarding of new employees.

Employee Lifecycle Management Maintain employee records, contracts, HR documentation, and ensure accurate HR data management.

Compliance Ensure HR practices comply with Malaysian employment laws and company policies.

Employee Relations Provide HR support to employees, address HR-related inquiries, and help foster a positive workplace culture.

Performance & Development Support Assist with performance review processes and employee development initiatives.

HR Administration Maintain HR systems, personnel files, and HR documentation in an organized and compliant manner.

Office & Administrative Management

Office Operations Oversee day-to-day office administration, facilities coordination, and vendor management.

Procurement & Asset Management Manage office supplies, company assets, and administrative procurement processes.

Administrative Support Support management with general administrative tasks and internal coordination.

Events & Employee Engagement Assist in organizing internal activities such as team events, company meetings, celebrations, and employee engagement initiatives.

Record Keeping Maintain accurate administrative records including contracts, office documentation, and compliance records.

Qualifications

Education Bachelor's degree in Human Resources, Business Administration, or a related discipline.

Experience Minimum 3 years of experience in HR, recruitment, office administration, or a similar role.

Regulatory Knowledge Understanding of Malaysian labour laws and HR practices is preferred.

Language Skills Fluency in English, Mandarin, and Bahasa Malaysia (both written and spoken).

Skills Strong organizational, communication, and interpersonal skills.

Personal Attributes Detail-oriented, proactive, trustworthy, and able to handle confidential information with professionalism.
