Job Description

Role Overview:

This role is an execution-focused HR administration role supporting the regional HR Operations team across day-to-day payroll, employee lifecycle, HRIS, and expatriate admin across our group – Singapore, Malaysia, Philippines, Hong Kong & Myanmar.

Key Responsibilities:

Payroll & Compensation Administration

  • Collect, verify and consolidate payroll inputs attendance records, overtime, claims and allowances — and submit accurately within monthly cut-off timelines
  • Support payroll vendor coordination and assist in verifying payroll runs to ensure accuracy before disbursement
  • Process employee benefits administration — insurance enrolment and removal, allowance tracking, and claims processing

 

Employee Lifecycle Administration

  • Prepare and issue offer letters, onboarding documentation and new hire welcome packs in coordination with the TA team
  • Track probation periods and prepare confirmation letters, ensuring timely issuance within policy timelines
  • Process resignation submissions, coordinate clearance procedures and prepare all exit documentation including experience letters and final settlement inputs
  • Prepare internal transfer and promotion letters upon approval from the respective BP or business leader
  • Maintain accurate and up-to-date HR records, perform timely HRIS data entry and maintenance — new hires, exits, transfers, salary changes and personal data updates

Expatriate Management Support

  • Assist in preparing and submitting employment applications for new hires requiring immigration support
  • Track permit and visa expiry dates and initiate renewal processes within required lead times to ensure zero compliance lapses
  • Assist in dependent pass applications, visa coordination and permit cancellation upon employee exit
  • Coordinate relocation logistics and settling-in arrangements for expatriate employees joining Malaysia
  • Support expat payroll and tax compliance coordination with relevant parties

 

Training & Development

  • Coordinate the training calendar, sourcing & selection, manage scheduling, venue or platform booking, trainer liaison, and attendance tracking.
  • Pre and post training documentation, materials preparation and record-keeping.
  • Assist in the logistics and coordination of new hire onboarding and induction program in partnership with the HRBP and TA team.

Employee Engagement & General Admin

  • Coordinate logistics for employee events and engagement activities — venue, vendors, communications and attendance tracking
  • Provide general HR administrative support to the team including document filing, letter preparation and ad hoc tasks as assigned

Requirements:

Must Have

  • Min 3 years of working experience in HR, preferably in HQ of multi-entity companies or regional HR environment
  • Strong attention to detail — payroll inputs, HR documents and permit submissions have zero tolerance for errors
  • Organized and deadline-driven — able to manage multiple recurring cut-offs simultaneously
  • Comfortable with systems and data entry — HRIS and document management will be daily tasks
  • Good written communication in English — prepares letters, emails and documents independently
  • Proactive and self-managing — tracks own task deadlines without constant follow-up

 

Good to Have

  • Exposure to payroll processing or HRIS platforms (any system)
