Job Description
The Mission
Direct Lending is a fast-growing, award-winning, Shariah-compliant lending fintech on a mission to empower people's lives with simple and responsible financing. Having built a sustainable, profitable foundation, we are now scaling up — with a clear roadmap to grow our business and become IPO-ready by 2030.
About the Role
We're looking for a meticulous, trustworthy HR, Payroll & Admin Executive to own our payroll and HR administration end to end, keep us fully compliant with statutory requirements, keep our office running smoothly, and support our Founder when needed. This role suits someone who takes real pride in accuracy, handles confidential information with complete discretion, and likes things done properly and on time.
As a guide, the role is roughly 60% HR and payroll, 20% support to the Founder, and around 20% office administration. You'll report to our HR Manager, and support the Founder directly on ad hoc matters.
Why Join Direct Lending
- Own a critical function: You'll run payroll and HR administration end to end — work every team member relies on, every month.
- Work closely with the Founder: You'll support the Founder on key arrangements and gain a bird's-eye view of how a profitable fintech scales and prepares for an IPO.
- A Growing Platform: As we grow, your role will evolve — with opportunities to develop toward HR operations, compensation and benefits, talent acquisition, or talent management.
Your Core Responsibilities
1. Payroll (end to end)
- Run the monthly payroll end to end in our HR system (BrioHR), including leave, claims, allowances, overtime and deductions, and submit it for management approval.
- Ensure payroll is accurate and paid on time, every month.
- Reconcile payroll and resolve employee queries promptly.
2. Statutory Compliance
- Prepare and submit statutory contributions and filings accurately and on time — EPF, SOCSO, EIS, PCB/MTD, HRDF, CP22/CP22A, EA forms and Borang E.
- Support statutory audits and requests from authorities (e.g., LHDN), preparing documents accurately and on time.
- Flag relevant changes in Malaysian employment and payroll requirements to the HR Manager.
3. HR Administration & Onboarding
- Maintain accurate employee records and personnel files, with high standards of data privacy.
- Own the end-to-end onboarding and offboarding process — employment documentation, system and access set-up, statutory registrations, a well-organised first day and orientation schedule, and check-ins during probation; and on exit, final pay, clearance and handover.
- Help keep the Employee Handbook and HR policies up to date.
- Coordinate staff recognition, such as birthday and milestone gifts and rewards.
4. Founder Support (as needed)
- Arrange business travel — flights, accommodation, transport and related claims.
- Support scheduling and meeting arrangements when needed.
- Coordinate logistics for board meetings, working with our company secretary.
- Handle confidential correspondence and matters with absolute discretion.
5. Office Administration
- Oversee day-to-day office upkeep and manage vendors such as cleaners, supplies, maintenance and building management.
- Manage office supplies, equipment and related purchases within budget.
- Coordinate office facilities — meeting room bookings, access cards, parking and visitor arrangements.
- Organise staff events, including our monthly happy hour and birthday celebrations.
Who You Are
Must-haves
- 1–4 years of experience in HR administration, with hands-on payroll exposure.
- Working knowledge of Malaysian statutory requirements — EPF, SOCSO, EIS, PCB/MTD, HRDF and related forms.
- Exceptional attention to detail — you catch the small things others miss, and you double-check before anything goes out.
- Strong numeracy and good Excel skills.
- Trustworthy, with a proven track record of handling confidential information with integrity.
- Organised and dependable — you treat accuracy and deadlines as non-negotiable.
- Good written and spoken English and Bahasa Malaysia.
Advantage
- Experience with payroll/HR systems (BrioHR or similar).
- Experience supporting a senior leader as a PA or executive assistant.
- Exposure to a fast-growing company or financial services business.
We'll provide training on our payroll and statutory processes.
A Note on Confidentiality
Given the sensitivity of the role, you'll be required to sign a confidentiality agreement. Payroll is prepared by you and approved by management, and any changes to your own pay are handled independently.
