Get to Know the Role
The Senior HR Executive is responsible for overseeing accurate and timely payroll processing for two business divisions within our Malaysia factory. While payroll is the primary focus of this role, the incumbent will also support broader HR operations, HR programs, and cross-functional initiatives.
This role requires strong technical payroll expertise, sound knowledge of HR practices, attention to detail, and the ability to collaborate effectively with key senior stakeholders. The position plays a key part in ensuring service excellence, statutory compliance, and continuous improvement across HR processes.
Essential Responsibilities
Payroll Management (Primary)
- Lead end-to-end payroll processing for assigned business divisions, ensuring accuracy, punctuality, and confidentiality.
- Review and validate monthly payroll inputs including attendance, overtime, allowances, and variable pay elements.
- Ensure compliance with Malaysia Employment Act, statutory requirements, and regulatory submissions including but not limited to KWSP/EPF, PERKESO/SOCSO, EIS, LHDN/PCB, HRD Corp/HRDF, ASNB, THiJARI Biz, PTPTN, Zakat.
- Administer statutory contributions and monthly/annual tax reporting (EA, E form).
- Maintain payroll master data and ensure integrity across HRIS (Oracle), payroll system, and time attendance platforms.
- Handle payroll-related inquiries and provide timely support to employees and managers.
- Support payroll audits and maintain proper documentation and internal controls.
Other Responsibilities
- Assist HRBP with compensation administration, annual increment/bonus cycles, and data consolidation.
- Contribute to continuous improvement projects involving digitalization, process optimization, HRIS (Oracle) enhancements, and policy reviews.
- Perform any additional tasks or duties assigned by the HR Manager to meet business needs.
Required Qualifications
- Bachelor's degree in human resources, business administration, or related field.
- Minimum 5 years of relevant experience, with hands-on expertise in end-to-end payroll processing; manufacturing experience preferred.
- Solid working knowledge of the Malaysia Employment Act and payroll statutory regulations.
- Experience using HRIS (Oracle) and payroll/time attendance systems (Links).
Technical Skills
- Strong proficiency in payroll systems and HRIS (Oracle).
- Advanced Excel skills for payroll validation and reporting.
- Understanding of payroll accounting entries, cost allocation, and reconciliation.
- Ability to analyse payroll data, identify discrepancies, and propose corrective measures.

- High integrity and strict confidentiality in handling sensitive data.
- Strong interpersonal and communication capabilities to engage with employees, leaders, auditors, and external agencies.
