Recruitment & Manpower Planning:
Qualification: Diploma / Certificate in Human Resources, Business Administration, Accounting, or equivalent.
Experience: Preferably 1 year of HR-related experience, with exposure to office administration and production operations functions.
Technical & Professional Skills: 1) Practical knowledge of basic employment laws and core HR processes. 2) Proficiency in Microsoft Office applications (Word, Excel, PowerPoint). 3) Strong consultation and interpersonal skills.
Language: Effectively bilingual in English and Bahasa Melayu.
Employment Type: under contract basis
- To provide efficient administrative and operational support to the HR Executive and Senior HR Executive in recruitment, manpower fulfillment, employee records management, and HR administration. The role is responsible for coordinating operator hiring activities, maintaining accurate HR data and documentation, supporting contractor workforce administration, and ensuring timely execution of recruitment processes in accordance with company policies, manpower requirements, and compliance standards.
Recruitment & Manpower Planning:
- Assist the HR Executive/Senior Executive in executing recruitment activities to support the organization's manpower requirements, particularly for operator and frontline workforce hiring.
- Support sourcing activities through job portals, walk-in interviews, career fairs, and other recruitment channels.
- Screen applications based on basic job requirements and prepare candidate shortlists for review by the hiring manager and HR team.
- Coordinate and schedule interviews between candidates and hiring managers, ensuring timely communication and follow-up.
- Manage candidate attendance for interviews, tests, and pre-employment processes.
- Follow up with successful candidates regarding offer acceptance, onboarding requirements, and reporting dates.
- Maintain recruitment trackers and databases, ensuring all hiring activities, candidate statuses, and manpower reports are updated accurately and promptly.
- Assist in meeting hiring targets and manpower plans by supporting timely recruitment and workforce replacement activities.
- Maintain accurate employee records and personnel files in both hardcopy and electronic formats.
- Perform data entry and updates in HR systems, ensuring employee information is complete, accurate, and up to date.
- Prepare employment-related documents, including employment contracts, offer letters, confirmation letters, transfer letters, and other HR correspondence, as required.
- Maintain confidentiality of employee, candidate, and company information at all times.
- Support HR compliance initiatives and cooperate with internal and external audits when required.
- Practice secure handling, storage, sharing, and disposal of confidential information and documents.
- Ensure an appropriate filing system by documenting systematically all relevant documents for easy retrieval and secure manner.
- Read the Information Security Policy and those supporting policies and guidelines that are relevant to their role.
- Implement good workplace practices of complying with the Information Security Policy.
- Responsibility for dealing securely with any information they have access to in the course of their duties.
