The Industrial Relations Specialist (6month contract) manages and strengthens Gentari's employee and industrial relations framework to ensure fair, consistent, and compliant people practices. The role partners closely with business leaders and HR Business Partners on ER/IR matters, discipline, dispute resolution, and regulatory engagement, safeguarding Gentari's culture, reputation, and compliance across Malaysia and, where applicable, the broader region.
Responsibilities
Employee & Industrial Relations Management
- Lead and manage employee and industrial relations matters, including disciplinary cases, misconduct investigations, grievances, and appeals, ensuring fairness, consistency and adherence to principles of natural justice;
- Manage and drive the handling of employee relations issues in partnership with business partners, ensuring effective risk mitigation and decision-making;
- Oversee and continuously improve Gentari's disciplinary management framework, policies, and standard operating procedures.
Disciplinary & Inquiry Processes
- Manage end-to-end disciplinary processes, including show cause letters, domestic inquiries, investigation coordination, and outcome documentation;
- Ensure all disciplinary actions are conducted in compliance with applicable labour laws, internal policies, and governance standards;
- Support panel members, inquiry officers, and management with guidance, documentation, and procedural clarity.
Labour Law & Compliance
- Ensure Gentari's people practices comply with Malaysian labour laws and relevant employment regulations;
- Monitor legislative changes and assess impact on Gentari's policies, contracts, and practices; recommend updates as needed;
- Liaise with external legal counsel, regulators, and government agencies on industrial relations matters.
External Stakeholder Engagement
- Manage relationships with employee representatives, where relevant, including negotiations, consultations, and issue resolution;
- Represent Gentari in meetings with labour authorities, mediation sessions, or industrial courts as required.
Policy Development & Governance
- Review, develop, and maintain employee and industrial relations policies, guidelines, and templates in line with Gentari's values and governance standards;
- Ensure consistent application of policies across business units and entities;
- Support audits, reviews, and compliance exercises related to people and industrial relations.
Advisory & Capability Building
- Act as a subject matter expert for industrial relations, providing practical and risk-aware advice to leaders and HR teams;
- Build IR capability among managers through coaching, training, and awareness sessions;
- Support change management initiatives, restructurings, or workforce-related projects from an industrial relations perspective.
Requirements
- Bachelor's Degree in Human Resources, Law, Industrial Relations, or a related discipline;
- 810 years of progressive experience in employee and industrial relations, preferably within a corporate, regulated, or complex organisational environment;
- Strong working knowledge of Malaysian labour laws, disciplinary processes, and industrial relations practices;
- Proven experience managing misconduct cases, grievances, domestic inquiries, and dispute resolution;
- Experience working closely with legal counsel and regulatory authorities;
- Excellent stakeholder management and influencing skills;
- Clear, structured, and confident communication in both written and verbal;
- Ability to remain calm, objective, and decisive in sensitive or high-risk situations.
