Job Summary
The BBU Operation Specialist plays a critical role in supporting the end-to-end operations of the Business Business Unit (BBU), which serves institutional clients including market makers, funds, brokers, banks, custodians, and family offices.
This role focuses on operational execution, cross-functional coordination, payment settlement, and go-to-market support, ensuring that institutional products and commercial initiatives are delivered efficiently, compliantly, and at scale.
Key Responsibilities
- Institutional Operations Support
- Support daily operations for institutional products
- Act as the operational point of contact for internal stakeholders on client onboarding, account setup, limit configuration, and product enablement.
- Coordinate operational workflows
- Cross-Functional Coordination
- Assist in managing cross-team dependencies, escalation paths, and resolution of operational issues affecting institutional clients.
- Support the rollout of new institutional products, policies, and commercial programs.
- Payment, Rebate & Settlement Operations
- Support payment-related operations for brokers and institutional clients, including:
- Calculation and processing of rebates, commissions, and incentive payouts based on agreed commercial terms.
- Coordination with internal finance and payment teams to ensure timely and accurate settlement.
- Reconcile payment records and assist in resolving discrepancies, exceptions, or disputes.
- Maintain accurate records and reporting for all institutional payment flows, ensuring transparency and audit readiness.
- Marketing & Go-To-Market (GTM) Event Support (NEW)
- Support marketing, go-to-market, and institutional events, including both online and offline initiatives (e.g. roadshows, conferences, client meetups, product launches).
- Coordinate with Marketing, Sales, and BBU stakeholders on event preparation, execution, and post-event follow-up.
- Assist in managing event-related operational tasks, such as internal approvals, logistics coordination, client lists, materials readiness, and post-event reporting.
- Support tracking and analysis of event effectiveness, including client engagement, lead follow-up status, and business impact.
- Process Improvement & Documentation
- Help document and maintain SOPs, workflows, and operational guidelines for BBU-related processes.
- Identify opportunities to improve operational efficiency, automation, and scalability.
- Support audits, internal reviews, and compliance-related operational requests.
- Data Tracking & Reporting
- Maintain and update operational trackers, dashboards, and internal reports for institutional business performance.
- Support periodic reporting on OKR Progress, client activity, rebates/commissions, GTM events, operational SLAs, and incident summaries.
- Ensure data accuracy and consistency across operational systems and reporting tools.
Requirements
Must-Have
- 25 years of experience in operations, business operations, or middle/back office, preferably in crypto, fintech, trading, or financial services.
- Basic understanding of digital assets, derivatives trading, or trading institutions concepts.
- Experience supporting payment, settlement, rebate/commission, or partner operations.
- Having past experience in hosting AMA or Twitter Space events, exposure to marketing or go-to-market operational support is a strong plus.
- Strong coordination skills with the ability to manage multiple stakeholders and tasks simultaneously.
- Detail-oriented with strong ownership and execution mindset.
- Comfortable working with data, spreadsheets, dashboards, and internal tools.
- Fluent in English and Mandarin (additional languages are a plus).
Nice-to-Have
- Experience supporting institutional clients, brokers, or partners in trading or financial services environments.
- Familiarity with concepts such as margin, liquidation, funding rate, tick size, settlement cycles, and GTM execution.
- Experience working with risk, compliance, finance, or marketing teams in regulated or semi-regulated environments.
- Exposure to fast-paced, high-growth crypto or fintech organizations.
