About the role
As an Instructor Excellence (Training Coordinator) Associate at Excelerate, you will play a pivotal role in ensuring the smooth execution of our training programmes. You'll work closely with the Supervisor and cross-functional teams to manage the operational aspects of training delivery, from instructor coordination to learner engagement and programme evaluation.

Your key responsibilities
Instructor Management & Coordination
- Collaborate with the Instructor Excellence team to manage instructor assignments, schedules, and programme alignment.
- Ensure each instructor is equipped with the right materials, content, and access (LMS, tools, or resources) before programme delivery.
- Assist in the recruitment, onboarding, and continuous engagement of qualified instructors to meet client and programme needs.
- Maintain and update the Instructor Database to track credentials, availability, and performance.
- Coordinate instructor evaluations, feedback collection, and development opportunities.
Programme Planning & Operations
- Work with the Sales and Learning teams to ensure accurate and timely planning of all training activities.
- Oversee end-to-end delivery logistics including scheduling, setup, communication with clients and trainers, and documentation.
- Support pre-programme preparations (briefings, communication packs, checklists), live programme coordination, and post-programme follow-ups (surveys, data collection, reports).
- Track and monitor programme milestones, deliverables, and instructor payments to ensure smooth operations.
- Anticipate and resolve potential delivery challenges by communicating proactively with stakeholders.
Quality & Continuous Improvement
- Conduct post-programme reviews and evaluate programme effectiveness based on learner and instructor feedback.
- Identify opportunities to enhance training quality and learner experience through process improvements.
- Support the implementation of new initiatives that promote instructor excellence and learning innovation.
- Stay up-to-date on L&D trends, adult learning theories, and digital learning technologies to strengthen delivery operations.
Collaboration & Communication
- Serve as the bridge between instructors, learners, and internal teams, ensuring effective communication across all parties.
- Support client and learner engagement by providing timely updates, addressing issues, and maintaining professional correspondence.
- Contribute to team discussions, brainstorming sessions, and performance improvement plans.

Requirements & Qualifications
- Bachelor's degree in Education, Human Resources, Business Administration, or related field (specialisation in L&D or training preferred).
- 1 to 2 years of experience in instructor coordination, training operations, or learning programme management.
- Proficiency in Learning Management Systems (LMS) such as Moodle, Blackboard, Google Classroom, or similar.
- Familiarity with digital collaboration tools (Google Suite, Microsoft Office), and virtual delivery tools (Zoom, Google Meet, MS Teams).
- Excellent verbal and written communication skills in both English and Malay.
- Strong organisation, multitasking, and time management skills. Able to handle multiple training projects simultaneously.
- Demonstrated ability to build positive relationships with instructors, clients, and internal stakeholders.
- Proactive, solution-oriented mindset with attention to detail and ownership of outcomes.
- Willingness to work flexible hours, including evenings or weekends when training sessions require support.
- Possesses a growth mindset, adaptability, and the ability to stay composed in a fast-paced environment.
