This role supports the Company Secretary team in delivering governance, statutory compliance and corporate secretarial services across the Gentari Group of companies. The individual will work closely with the Corporate Secretarial team to support statutory record management, governance documentation, digitalisation initiatives, board meeting administration and day-to-day corporate secretarial activities, while gaining practical exposure to corporate governance and regulatory compliance within a dynamic business environment.
Responsibilities
Corporate Secretarial & Governance Administration
- Assist in maintaining statutory registers, corporate records and company secretarial documentation for Gentari Group entities;
- Support preparation, organisation and filing of governance, statutory and compliance-related documents;
- Assist in maintaining accurate and up-to-date corporate records and documentation;
- Support recurring company secretarial and governance activities across the business.
Document Management & Digitalisation
- Support the migration of statutory and governance documents into the Company's digital governance platform;
- Assist in organising, indexing, categorising and archiving corporate documents and records;
- Conduct document verification, quality checks and record reconciliation activities to ensure completeness and accuracy;
- Support implementation of effective document management and record-keeping practices.
Board & Compliance Support
- Assist in preparing and organising board meeting and governance-related documentation;
- Support board administration activities, including document compilation and distribution;
- Assist in tracking Directors resolutions and governance-related matters;
- Provide administrative support for governance and compliance initiatives where required.
Administrative Support
- Maintain databases, trackers and filing systems to support the Corporate Secretarial team's operations;
- Support document retrieval, filing and records management activities;
- Coordinate administrative follow-ups and assist with recurring documentation requirements;
- Support special governance projects and initiatives as assigned.
HSE, Compliance & Team Responsibilities
- Adhere to all company policies, procedures and governance requirements;
- Uphold the highest standards of professionalism, confidentiality and ethical conduct;
- Participate in relevant training and development activities;
- Undertake additional assignments and responsibilities as required by the Head of Company Secretary and Corporate Secretarial team.
Requirements
- Recently graduated or currently pursuing a Bachelor's Degree from a recognised university in Corporate Secretarial Practice, Corporate Administration, Governance, Compliance, Legal, or a related discipline;
- Priority will be given to candidates with a basic Corporate Secretarial background and understanding of company secretarial practices, statutory compliance and corporate governance;
- Internship, industrial training or academic exposure in Corporate Secretarial, Governance, Compliance, Legal or Corporate Administration functions would be an advantage;
- Exposure to statutory record management, corporate governance, document management activities or handling confidential administrative documentation would be beneficial;
- Basic understanding of corporate secretarial practices, corporate governance principles, statutory record maintenance, corporate documentation and filing requirements;
- Strong attention to detail, accuracy, organisational skills and administrative capability;
- Good written and verbal communication skills, with proficiency in Microsoft Office applications;
- Proactive, adaptable, eager to learn and able to manage multiple assignments, meet deadlines, handle confidential information with discretion and work collaboratively across teams and stakeholders;
