You will be responsible for:- Provide administrative and operational support for the sales teams
To issue Sales Quotation/Delivery Order/Invoice/Statement of Account- To issue Payment Schedule
To issue Weekly Inventory Report / Monthly Sales Report
- Arrangement of shipment for Documents & Parts
Ensuring timely delivery of item(s) to meet customers requirement- Maintaining and updating of inventory records in system
Providing translation of Japanese & Malay in written & speaking
- Attend to calls and guests
Ensuring proper filing and archiving of documents- To support overseas colleagues for accommodation & flight bookings
Supporting HR in Staff Administrations and Submissions
- Supporting Office in payments and documents processing
Site documentation for Site Manager (Interim assistant)- Sourcing and purchasing of machine parts, PPE and any items required by site (Interim assistant)
Miscellaneous related to Sales & Office administration
- Working closely with Team Executives as well as other support functions to provide proactive and effective general administrative assistance across a diverse range of tasks.
Scheduling and coordinating meetings.- Making travel arrangements and preparing expense reports.
Providing other organisational support such as ordering supplies and equipment.
- Organising data and generating deep customer insights in order to enhance sales force productivity and effectiveness.
Supporting the sales team key planning and operations tasks to support the overall objective of the business.- Administering leave records, medical and insurance claims.
Managing 11-50 team members. You will be responsible for:
- Provide administrative and operational support for the sales teams
You have at least 1 year experience within a Admin Assistant or Sales Operations / Sales Support role, ideally within industry.
- Candidate must be able to speak and write well in Mandarin and English (Japanese-speaking candidates will be bonus) to effectively liaise with stakeholders in the region.
You are organised and have good interpersonal skills.- You have good computer skills (MS Word, Excel, PowerPoint).
You possess excellent interpersonal as well as written and verbal communication skills.
- You have working knowledge of Excel, Autocount and Microsoft Office
You are a strong networker & relationship builder- You possess strong analytical skills and are comfortable dealing with numerical data
You are a strong team player who can manage multiple stakeholders
