Job Description
Job Responsibilities
- Assist the Leasing Manager in managing day-to-day leasing activities and documentation.
- Prepare Tenancy Agreements (TAs), renewal agreements, and other leasing-related documents for new and existing tenants.
- Coordinate with tenants and the Leasing Manager to obtain and verify required supporting documents, including layout plans, identification documents, company registration documents, deposit receipts, bank statements, and company certificates.
- Monitor the status of tenancy documentation and follow up on outstanding documents to ensure timely completion.
- Coordinate tenant security deposit refunds upon move-out by liaising with the Fit-Out, Credit Control, and Finance teams.
- Prepare and maintain accurate leasing records, trackers, and reports, including vacant units, lease renewals, occupancy status, façade signage, and other leasing-related matters.
- Prepare supporting documentation for approved rental reductions and other leasing arrangements.
- Prepare minutes of meetings and maintain records of key decisions and follow-up actions.
- Ensure tenant information and leasing details are accurately updated and maintained in the Mall Management System (MMS).
- Assist in monitoring lease expiry dates, renewal status, vacant units, and other key leasing activities.
- Provide administrative and coordination support to the Leasing team and assist with other tasks assigned by the Leasing Manager.
Requirements
- Diploma or Bachelor's Degree in Property Management, Real Estate, Business Administration, or a related field.
- Preferably 1–2 years of experience in leasing, property management, mall operations, or a related field.
- Fresh graduates with relevant internship experience are encouraged to apply.
- Basic knowledge of tenancy agreements, leasing processes, and property management is an added advantage.
- Strong administrative and documentation skills with good attention to detail.
- Good communication and interpersonal skills, with the ability to communicate effectively with tenants and internal departments.
- Proficient in Microsoft Office, particularly Microsoft Excel and Word.
- Good organisational and time management skills, with the ability to manage multiple tasks and follow up on deadlines.
- Detail-oriented, proactive, responsible, and able to work independently as well as in a team.
