Job Description

Leasing & Key Account Administrative Executive For Temporary 3 months

This role is to cover 3 months (maternity replacement only)

Looking for Fresh graduate

Basic Salary : RM4000 - RM5000

Working Hours : 9am - 6pm

Working in Hybrid mode (3 days from office, 2 days from home)

Leasing Admin:

Responsible for ensuring seamless leasing administration, financial reporting, and operational coordination for the Free Standing Stores (FSS).

This role requires strong attention to detail, coordination with internal and external stakeholders, and adherence to company policies and landlord requirements.

Key Responsibilities:

1. Sales Reporting & Compliance

  • Prepare and submit FSS monthly sales reports in accordance with the landlord's template
  • Annual Audited Sales Report Submission to landlords

2. Leasing Administration & Documentation

  • Ensure efficient leasing administration, including scanning, dispatch, signature routing, agreement uploads for legal review, and tenancy master file updates.
  • Archive legal documents, submit certified true copy (CTC) company forms, complete merchandise mix and relevant forms.
  • Coordinate with the Retail Manager and Finance Controller for customer code and cost center creation.

3. Payment & Financial Coordination

  • Manage leasing/ operation-related payments such as purchase order (PO) creation, quotation/ invoice readiness, advanced payments, security deposits, bank guarantees, and stamp duty payments
  • Coordinate with landlords finance/admin teams, solicitors, and internal stakeholders
  • Providing accurate payment details
  • Support the Controlling Analyst in forecasting budgets and rental trends
  • Ensure smooth monthly Goods Receipt (GR) and rental payments for FSS leases

4. Regulatory & Service Management

  • Prepare and submit FSS SLAN for ROU
  • Prepare Retail Lease Checklists
  • Oversee FSS insurance matters
  • Manage service coordination for pest control, daily boutique cleaning, music licenses, and business licenses

5. FSS Landlord Portal & Administrative Support

  • Act as FSS Landlords Portal Super Admin, managing access for work permits, finance related invoicing & billing, operation matters and business hour approvals.
  • Provide ad-hoc administrative support as required

Key Account Admin:

Its primary role is supporting the Key Account Management (KAM) team in ensuring all documentation is completed within the stipulated timeline.

Key Responsibilities:

  • Weekly and monthly business reporting
  • Submission of purchase orders for new launch sell-in
  • Payment & Finance Coordination
  • Product requisition via Free Delivery Request Portal
  • Other Sales-administrative related matters including agreements and contracts

Overall Purpose of the Role:

To provide end-to-end administrative, documentation, and financial coordination support across both retail leasing operations and key account sales activities. It ensures that both store operations and sales partnerships function efficiently and in compliance with internal and external requirements.
