Job Description

Role Overview

The Leasing Executive is responsible for managing the end-to-end leasing function of the shopping centre, ensuring optimal occupancy, strong tenant relationships, and compliance with all tenancy documentation and legal requirements. This role works closely with internal departments and external stakeholders to drive leasing performance and maintain accurate documentation and reporting.

Key Responsibilities:

Tenancy Administration & Compliance

  • Administer the full tenancy process from offer stage to lease execution, including preparation of Letters of Offer, Tenancy Agreements, and related documentation.
  • Monitor lease timelines, renewals, expiries, and terminations to ensure timely action and continuity of occupancy.
  • Coordinate with legal advisors on contract amendments, special clauses, and tenancy-related matters.
  • Ensure all tenancy documents are properly executed and maintained in accordance with company policies and regulatory requirements.
  • Prepare formal tenant communications regarding renewals, rebates, terminations, and other lease-related matters.

Leasing Strategy & Market Intelligence

  • Identify and approach prospective tenants to support leasing targets and enhance tenant mix.
  • Build and maintain a pipeline database of potential retailers and operators.
  • Conduct market research on industry trends, retail performance, and competitor shopping centres to provide insights for leasing strategy improvement.

Performance & Financial Monitoring

  • Support the preparation and tracking of leasing budgets, rental forecasts, and key performance indicators.
  • Contribute ideas and initiatives to improve occupancy levels and optimize rental income.

Tenant Management & Engagement

  • Serve as a point of contact for tenants on leasing and operational matters.
  • Maintain positive tenant relationships through consistent communication and support.
  • Assist in coordinating tenant meetings, briefings, and engagement activities when required.

Cross-Functional Coordination

  • Work closely with Marketing, Operations, and Finance teams to ensure smooth tenant onboarding, fit-out approvals, promotional coordination, and handover processes.
  • Liaise with the Credit Control team regarding rental collections, deposits, and outstanding payments.
  • Provide administrative and coordination support to the Leasing Manager, including record management and follow-ups on leasing enquiries.

Reporting & Records Management

  • Maintain accurate leasing records, tenancy schedules, and updated floor plans reflecting occupancy status.
  • Prepare periodic leasing reports and ad hoc analyses for management review.
  • Undertake any additional tasks or assignments as directed by Management.

Requirements:

  • Diploma/Bachelor's Degree in Property Management, Real Estate, Business Administration, Marketing, or related field.
  • Minimum 3 years (Senior Executive) / 5 years (Assistant Manager) experience in retail leasing or shopping mall industry.
  • Strong understanding of shopping mall trends and tenancy administration processes.
  • Established network with potential retail tenants.
  • Team player with a positive attitude, self-motivated, and able to work independently.
