About the Role
We are seeking a detail-oriented and proactive Logistics Executive to manage day-to-day coordination across our 3PL warehouse network in Malaysia, Singapore, and Hong Kong. This role is the operational backbone between our business stakeholders, marketplace platforms, and third-party logistics providers — ensuring smooth order fulfilment, inventory accuracy, and continuous service performance.
Key Responsibilities
3PL Performance & KPI Management
- Conduct regular performance reviews with 3PL partners across Malaysia, Singapore, and Hong Kong against defined KPIs (on-time fulfilment, accuracy rate, cycle time, etc.)
- Identify SLA gaps and coordinate corrective action plans with 3PL operations teams
- Escalate and track recurring performance issues, ensuring timely resolution and documentation
Warehouse Operations Coordination
- Monitor and follow up on urgent pending clearances, GRN (Goods Receipt Notes), and picking activities across all warehouse sites
- Communicate operational updates and delays clearly to internal business stakeholders
- Coordinate cross-dock activities and stock movement between warehouse locations
- Manage RTV (Return to Vendor) tracking to 3PL and ensure timely pickup coordination with 3PL teams from stores.
- Coordinate vendor pickups plan with 3PL sites, ensuring scheduling accuracy and documentation readiness.
B2C Order Management
- Oversee end-to-end B2C order fulfilment in coordination with 3PL and marketplace service providers
- Monitor order SLA compliance and proactively resolve fulfilment delays
- Liaise with internal teams, marketplace platforms, and last-mile service providers to ensure seamless customer order delivery
Invoice Reconciliation & Documentation
- Manage monthly 3PL invoice reconciliation — tracking, verifying, and resolving billing discrepancies
- Maintain proper document trails for all logistics transactions including GRNs, delivery orders, and proof of deliveries
- Support audit requirements by maintaining organized records of all 3PL activities
Stakeholder Communication
- Act as the primary point of contact for 3PL-related operational queries from internal business teams
- Provide regular status updates and reports on warehouse performance, fulfilment rates, and pending issues
- Collaborate with commercial, customer service, and supply chain teams to align logistics operations with business priorities
Requirements
Education & Experience
- Diploma or Degree in Logistics, Supply Chain Management, Business, or a related field
- Minimum 2–4 years of experience in logistics coordination, warehouse operations, or supply chain roles
- Prior experience working with 3PL providers is strongly preferred
- Exposure to B2C fulfilment and/or e-commerce/marketplace operations is an advantage
- Strong coordination and follow-through skills — ability to manage multiple priorities simultaneously
- Excellent verbal and written communication in English; Mandarin or Malay is an added advantage for regional coordination
- Proficient in Microsoft Excel (VLOOKUP, Pivot Tables, data reconciliation)
- Familiarity with WMS (Warehouse Management Systems), TMS, or ERP platforms (SAP, Oracle, or similar)
- Experience with e-commerce platforms and marketplace integrations (Shopee, Lazada, etc.) is a plus
- Analytical mindset with strong attention to detail
- Self-starter with the ability to work independently and across time zones
