Job Description
Are you someone who enjoys finding great products, working with suppliers, negotiating deals, and turning ideas into impactful promotional merchandise
We're looking for a Merchandising Executive to join our Event & Promotion team and play an important role in bringing our merchandise and promotional initiatives to life.
What You'll Do:
1. Merchandise Sourcing & Development
- Source and develop merchandise, corporate gifts and promotional items based on business requirements, budget and timeline.
- Identify, evaluate and liaise with local and international suppliers.
- Obtain and compare quotations, MOQ, specifications, samples, lead times and delivery terms.
- Negotiate pricing, quality, payment terms and delivery timelines.
- Propose creative and innovative merchandise ideas aligned with our brand and campaigns.
- Coordinate product sampling, revisions and approvals before production.
- Follow up with suppliers from confirmation through production and final delivery.
- Maintain an updated supplier/vendor database and supplier performance records.
2. Inventory & Stock Management
- Monitor merchandise stock levels and movement across HQ, DC and event locations.
- Maintain accurate inventory records.
- Coordinate stock allocation, replenishment, transfers and distribution.
- Monitor low-stock, slow-moving, excess and ageing merchandise.
- Conduct periodic physical stock checks and inventory reconciliation.
- Coordinate with relevant departments on merchandise requirements and availability.
3. Quality & Supplier Performance
- Conduct quality checks on merchandise samples and delivered products.
- Ensure merchandise meets approved specifications, artwork and brand guidelines.
- Identify and report defects, discrepancies, shortages and quality issues.
- Coordinate corrective actions or replacements with suppliers.
- Monitor supplier performance in terms of quality, pricing, responsiveness and delivery.
4. Cost & Timeline Management
- Track sourcing and production timelines to ensure timely delivery.
- Monitor merchandise costs against approved budgets.
- Identify opportunities for cost savings without compromising quality.
- Escalate potential delays, cost overruns, stock shortages and supplier risks when necessary.
5. Documentation & Coordination
- Maintain merchandise-related documentation in accordance with company SOP, Working Instructions and ISO requirements.
- Ensure quotations, comparison sheets, approvals, purchase documents, stock records and supporting documents are complete and updated.
- Maintain merchandise trackers, sourcing status, inventory records and supplier databases.
- Prepare weekly/monthly progress updates.
- Work closely with Finance, Procurement, Warehouse/DC, Brand & Creative, Marketing and other relevant teams.
6. Event & Department Support
- Support merchandise preparation, packing, allocation and distribution for company events and campaigns.
- Assist with merchandise displays, booth setup and branding materials when required.
- Support departmental and company events assigned by the Manager.
What We're Looking For:
- Diploma/Degree in Business, Marketing, Management or a related field.
- At least 1–2 years of experience in merchandising, purchasing, event support or related roles.
- Experience in vendor management and sourcing.
- Basic knowledge of merchandising and inventory management.
- Good negotiation and communication skills.
- Proficient in Microsoft Office, especially Excel.
- Familiarity with procurement systems is an added advantage.
- Knowledge of Canva/Adobe Illustrator for merchandise mock-ups is a plus.
- Experience in FMCG, retail or event promotion will be an added advantage.
