Ocean Freight Assistant

Job Responsibilities

• Follow up with origins and destination agents in order to update customer with status at all stages for key account
• Follow Up with the carriers, forwarding agent and shipping lines for the status of vessel arrival, to ensure the cargo is cleared and delivered to customer. Update system with POD.
• Follow up and make bookings and BL preparation for Ocean Export shipments. Co-ordinate with Custom Broker in solving discrepancies /problem in documentation.
• Co-ordinate with Local Distribution/ vendors in arranging necessary trailers/trucks for the smooth delivery of the consignment/shipments by Ocean and Road (when required).
• Update the tracking sheet with shipment status.
• Create jobs in system for all ocean shipments.
• Complete Costing & Billing for Import & Export jobs.
• Co-ordinate with Agents & Customer on documentation requirements.
• Submit and ensure compliance for ISF/AMS submissions
• Send Pre-Alerts to destination agents
• Billing & Invoicing of service charges on the basis of Contracts & Quotations. Distribution of Invoices with attachments to Customer & concerned departments. Immediate follow up of discrepancies.
• Collects & process the supplier invoices & forward to Finance for payment process
• Interface between Finance & Customs Clearance Team/Agent for smooth document & transaction flow.
• Assists departmental staff on administrative task related to freight issues. Adheres to the Company's Compliance & Corporate Polices & procedures.
• Any other related duties / projects assigned by the direct supervisor from time to time to meet the business exigencies.

Job Requirements

• Candidate must possess at least Diploma/Advanced/Higher/Graduate Diploma in Logistic/Transportation or equivalent.
• At least 1 to 3 Year(s) of working experience in the related field is required for this position.
• Required Skill(s): Communicative, Fast Learner, Goal Oriented, Listener, English Proficiency.
