Job Purpose:
This role reports to the General Manager and is responsible for overseeing all aspects of office administration and operations. This person is responsible for calendar management, travel arrangements and keeping accurate expense records, and organising business meetings, companywide team activities and other admin support. This person is also responsible to provide sales support to the client services team.
Key Accountabilities:
Day to day office administration (50%)
- Manage all general office administration and facilities management.
- Main liaison with building management, vendors, contractors for upkeep of the office.
- Keep record of maintenance contracts and coordinate for renewals.
- Support onboarding and offboarding process.
- Oversee access card systems, vendor contracts, office supplies.
- Plan and support all employee engagement events, example major festive celebrations, quarterly townhalls, teambuilding, CSR events.
- Support the sending out of all local email correspondences.
- Support all business meetings and training workshops.
- Support vendor enrolment and works with AP COE to ensure timely payment of invoices.
- Support legal in submitting all agreements with The Inland Revenue Board of Malaysia
- Support board directors in submitting travel claims.
- Any ad-hoc support required from time to time.
Administrative support to GM (20%)
- Organize and manage travel arrangements, including travel itinerary preparation, visa application, booking of air tickets, accommodation and airport transfers.
- Process all expense claims accurately and ensure timely submission via Concur.
- Any adhoc support as required from time to time.
Qualifications:
Bachelor's Degree in Business Administration or a related field is preferred
Critical Competencies / Critical Success Factor
- Proven experience in office administration and executive support roles.
- Experience in organizing events and coordinating with vendors.
- Strong organizational and multitasking skills with the ability to prioritize and meet deadlines.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite and familiarity with Concur (or similar expense systems).
- Ability to work independently with minimal supervision.
- Strong interpersonal skills to liaise effectively with internal and external stakeholders.
- High attention to detail and accuracy.
- Strong problem-solving skills and a proactive mindset.
- Flexibility to handle ad-hoc tasks and changing priorities.
