Your Impact
As an Office Services Administrator, you will join our Kuala Lumpur Office Services team. In this role, you will support a range of administrative duties and clerical functions that ensure the efficient operation and professional appearance of our local office.
Responsibilities include managing office maintenance, deploying and maintaining technology and equipment (such as monitors, telecoms, and office copiers), coordinating furniture arrangements, facilitating employee office set-up and relocations, organizing repairs, and collaborating with external contractors and vendors as needed.
You will play a key role in maintaining office security and confidentiality, including updating the emergency plan and business continuity contact list. As the primary contact for office security, you will promptly address concerns and coordinate with internal teams and leadership.
You will support local leadership by overseeing the office event budget, ensuring expenditure remains within approved limits, and maintaining regular communication to ensure alignment. Working with office event organizers, you will ensure spending complies with firm policies and guidelines, safeguard firm interests, and offer creative solutions to challenges as they arise.
Your efforts will contribute to seamless office operations and enhance the workplace experience, tailored to local needs and leadership direction. Collaboration with team members is essential to deliver consistent, high-quality customer service.
You will monitor office operational expenditure, track actual spending, and ensure compliance with budgetary guidelines.
Your position encompasses vendor management duties, which include collaborating with office service vendors and suppliers to address office requirements, coordinating with the Finance team to ensure prompt and accurate invoice submissions, as well as monitoring, reviewing, and renewing vendor agreements in accordance with relevant firm guidelines.
Additional responsibilities related to office services may be assigned as needed, providing opportunities for further professional development.
Your role requires you to work reliably and consistently in person at the office.
Your Qualifications and Skills
- 2+ years of experience in a corporate office setting, preferably within a professional services organization
- Exceptional organizational skills, strong attention to details, and proven ability to prioritize multiple tasks; demonstrates responsibility and accountability for deliverables; highly proactive and self-motivated
- Adaptable and collaborative team player to meet our dynamic business needs that may change or evolve over time; able to work effectively with colleagues and cross-functional teams to meet service requirements and deliver results
- Advanced typing and proofreading capabilities; skilled in producing documents quickly and with high accuracy
- Proficient in Microsoft Outlook, PowerPoint, Word, and Excel; strong technical aptitude
- Demonstrated vendor management skills with the ability to negotiate effectively with external partners to secure favorable outcomes for the organization
- Ability to take initiative beyond basic support duties, proactively contributing to and owning administrative responsibilities; capable of working independently
- Proven capacity to perform efficiently and effectively under pressure in a fast-paced, deadline-driven environment
