Job Description

The MY Operations Specialist oversees day-to-day operational activities across 3PL logistics, inventory management, SAP order-fulfilment processes, and demandsupply coordination. The role is execution-driven and requires strong cross-functional collaboration to maintain operational discipline during the company's growth phase.

Leveraging experience in logistics and inventory management, this position is expected to be highly results-orientedproactively identifying risks, recommending practical solutions, and leading small-scale improvement initiatives that enhance overall operational efficiency.

The Role Is Critical In Ensuring

  • Stock accuracy & availability
  • Smooth daily order fulfilment
  • Compliance with SAP processes
  • Close alignment with sales, customer service & 3PL partners
  • Effective management of lending stock, urgent orders & borrowing returns

Key Responsibilities

Warehouse & 3PL Operations Execution

  • Daily coordination with 3PL on inbound, outbound, picking, delivery and storage activities.
  • Monitor 3PL performance (timeliness, quality, accuracy) and initiate corrective/preventive actions.
  • Ensure proper handling of loan sets, urgent cases, and emergency delivery needs.
  • Manage 3PL billing verification (regular + ad-hoc charges).

Inventory & Stock Accuracy Control

  • Ensure cycle count accuracy; follow up on discrepancies and system adjustments.
  • Monitor loan stock borrowing/return processes and ensure timely settlement to avoid losses.
  • Oversee stock expiry, quarantine and product quality release process.

SAP Order Management & Process Compliance

  • Ensure all fulfilment activities follow SAP standard processes.
  • Support CS team on system issues: order blocks, pricing mismatch, delivery holds, billing errors.
  • Work with sales team to manage order cut-off, urgent order requests and product availability rules.
  • Support MY SAP S/4 stabilization, troubleshooting, and continuous improvement

Demand & Supply Support

  • Convert sales forecast into a demand plan in SAP (MD04/MD07/MRP).

Create purchase requisitions / purchase orders according to stock needs.

  • Track supplier delivery schedule and escalate shortage risks.

Cross-functional Coordination

  • Work closely with Sales, CS, Finance to ensure operational discipline.
  • Educate sales team on SAP rules and operations do's & don'ts.
  • Communicate availability issues, backorders, and shipment plans proactively.

Compliance & Continuous Improvement

  • Ensure all logistics activities comply with medical device regulatory requirements.
  • Identify process gaps and lead small-scale improvements to reduce errors and improve speed/cost.

Requirements

Language

  • Excellent command of English, both written and spoken, is required.
  • Proficiency in Mandarin, Malay or other languages will be an advantage.

Must-Have

  • 46 years experience in operations, logistics, supply chain or inventory control.
  • Hands-on experience in logistics execution, warehouse coordination or inventory problem-solving.
  • Experience with SAP S/4 (preferably in OTC, MM, IM, WM or related modules).
  • Strong execution & follow-through ability; not afraid of dealing with daily operational issues.
  • Good communication and cross-team coordination skills.
  • Ability to work under pressure, handle urgent cases, and manage frequent ad-hoc requests.

Nice-to-Have

  • Experience in medical device / healthcare / high SKU environment.
  • Knowledge of 3PL operational models and performance KPIs.
  • Experience in demand planning or basic MRP understanding.
  • Experience working in a company undergoing system or business model transformation.
