PEMACU KERJAYA by VentureTECH is a structured 12-month contract-based programme that provides graduates with valuable industry exposure through on-the-job training at selected VentureTECH investee companies, complemented by structured development modules. The programme aims to develop Bumiputera graduates through practical job placements and training, equipping them with industry knowledge, technical competencies, and professional skills to support their career growth.

JOB SUMMARY:
The role is responsible for establishing, maintaining, and controlling all project documentation (technical, commercial, and administrative) to ensure accuracy, version control, traceability, compliance with standards (e.g., ISO 9001, project-specific procedures), and timely availability to stakeholders. This position is critical during the project execution and final documentation phases to support smooth project delivery, audits, and bank/regulatory reporting.
EDUCATION REQUIREMENTS:
- Diploma or bachelor's degree in business administration, Information Management, Engineering, Records Management, or a related field. Equivalent experience will be considered.
REQUIRED WORK EXPERIENCE:
- Fresh graduates are encouraged to apply or candidates with minimum 1 year as a Document Controller(Entry Level)
- Technical Skills: Strong knowledge of Microsoft Office Suite (Excel for registers/logs, Word for transmittals). Familiarity with document numbering systems, ISO standards, and version/revision control best practices.
- Soft Skills: Excellent organizational and time-management abilities; high attention to detail; strong communication and coordination skills; ability to work under pressure in a fast-paced site environment.
JOB DESCRIPTION:
- Establish and maintain a centralized project document control system for all project documents, including drawings, specifications, RFIs, submittals, test reports, vendor data, contracts, correspondence, progress reports, and commissioning records.
- Receive, review, register, code, and distribute incoming and outgoing documents in accordance with project procedures, ensuring proper numbering, revision tracking, and approval workflows.
- Implement strict revision management to prevent use of outdated documents; archive superseded versions and maintain a clear audit trail.
- Coordinate document flows between internal teams (engineering, construction, QA/QC, HSE, commissioning) and external parties (consultants, subcontractors, vendors, client, authorities, bank representatives).
- Generate and distribute document transmittals, status reports, master document registers, and progress logs for project meetings and senior management.
- Manage hard-copy and digital filing/archiving systems, including scanning, indexing, and secure storage of records for easy retrieval and long-term retention.
- Support commissioning and handover activities by compiling as-built drawings, O&M manuals, test certificates, and final documentation packages.
- Train project team members on document control procedures and EDMS usage as needed.
- Identify and implement improvements to document control processes to enhance efficiency and reduce risks/delays.
