Job Description

A leading organisation in Kuala Lumpur is seeking a Personal Assistant cum Administrative Executive to provide comprehensive support to the CEO/President while ensuring seamless office operations. This role offers you the chance to work closely with senior leadership, manage high-level schedules, and contribute to the smooth running of a dynamic workplace.

Your day-to-day activities will involve :

  • Manage the CEO's calendar by scheduling meetings, coordinating appointments, and ensuring all commitments are efficiently organised.
  • Screen incoming communications such as emails and phone calls, prioritising messages and responding on behalf of the CEO when appropriate.
  • Prepare and edit correspondence, reports, presentations, and other documents required for executive functions or business needs.
  • Plan and book travel itineraries including accommodations and transportation for the CEO, ensuring all arrangements are handled smoothly.
  • Submit business trip proposals and travel expense claims promptly to facilitate timely reimbursements for executive travel.
  • Serve as the primary liaison between the CEO and both internal staff members as well as external partners or vendors.
  • Handle confidential information with utmost discretion while maintaining professionalism in all interactions.
  • Arrange house-related repair appointments or personal service schedules for the CEO as needed to ensure their personal affairs are managed effectively.
  • Coordinate corporate events, receptions, and other functions hosted by the CEO including budgeting and post-event reporting when necessary.
  • Maintain organised filing systems for sensitive information while overseeing office supplies and equipment to guarantee operational efficiency.

To excel as a Personal Assistant and Administrative Executive in this organisation, your background should include :

  • Bachelor's degree in Business Administration, Communications or related field is preferred for this position.
  • At least one year of experience as a personal assistant or in an administrative support role within a professional setting is required.
  • Proven ability to manage complex schedules including meeting coordination and travel arrangements for senior executives.
  • Exceptional organisational skills combined with strong written and verbal communication abilities are essential for success.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) along with familiarity using collaboration platforms like Microsoft Teams or Zoom is expected.
  • Demonstrated capacity to handle multiple tasks simultaneously while remaining calm under pressure is highly desirable.
  • Cultural adaptability especially when working with international teams will help you thrive in this environment.
