Provide comprehensive executive and administrative support to the Executive Director, including calendar management, meeting coordination, correspondence, and travel arrangements.
Prepare meeting agendas, minutes, presentations, reports, briefing materials, and other business documents, ensuring timely follow-up on action items.
Serve as the primary liaison between the Executive Director and internal departments, business partners, government authorities, and external stakeholders.
Coordinate and monitor strategic projects and cross-functional initiatives, ensuring timely execution and effective communication among stakeholders.
Support corporate governance and compliance matters by coordinating documentation, board papers, resolutions, and communications with legal advisors, auditors, and regulatory authorities.
Manage confidential information, corporate records, and executive documents with the highest level of professionalism and discretion.
Organize executive meetings, corporate events, business visits, and both domestic and international travel arrangements.
Support the day-to-day operations of the Executive Director's office, continuously improving administrative processes and undertaking ad hoc assignments as required.
Job Requirements
Diploma, Advanced Diploma, Bachelor's Degree, or equivalent in Business Administration, Management, Secretarial Studies, or a related field.
Minimum 4 years of relevant experience as a Personal Assistant, Executive Assistant, or in a similar executive support role.
Excellent command of English and Bahasa Malaysia, both written and spoken.
Strong organizational, time management, communication, and stakeholder management skills.
Ability to handle confidential information with integrity, professionalism, and discretion.
Proficient in Google Workspace and Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
Able to work independently, manage multiple priorities, and perform under pressure.
Possess a valid driving licence and own transportation.
