Overview

This Personal Assistant provides high-level personal and administrative support to C-suite executives, ensuring seamless coordination of travel arrangements, corporate administration, and day-to-day office operations. The role requires strong company secretarial exposure, a high level of discretion, and the ability to liaise effectively with professional advisors and senior stakeholders in a fast-paced, executive environment.

Key Responsibilities

  • Manage end-to-end travel arrangements including planning schedules, booking flights, accommodation, and coordinating itineraries.
  • Provide comprehensive administrative and personal support, including handling day-to-day office matters and company administration.
  • Support corporate setup activities, including incorporation of new entities and coordination of related documentation.
  • Liaise with trustees, company secretarial firms, professional advisors, and external service providers on corporate and statutory matters.
  • Coordinate payments, track invoices, and support basic finance-related administrative tasks as required.
  • Maintain proper records, documentation, and filing for corporate, administrative, and travel-related matters.
  • Act as a key point of contact to ensure smooth communication between internal stakeholders and external parties.
  • Perform any additional tasks reasonably required to support the Company's operational needs.

Requirements

  • 3 years and above of experience as a Personal Assistant or Executive Assistant supporting C-level executives
  • Strong company secretarial (cosec) knowledge and experience, including liaising with trustees, company secretarial firms, and handling corporate compliance matters.
  • Excellent organizational and time management skills, with the ability to manage multiple priorities and complex schedules.
  • High level of discretion, confidentiality, and professionalism.
  • Strong communication and interpersonal skills to liaise effectively with internal teams, senior stakeholders, and external service providers.
  • Proactive, detail-oriented, and capable of working independently in a fast-paced executive environment.
