Job Description

Position Overview

The Personal Assistant (PA) to the Managing Partner provides high-level executive, administrative, and operational support to ensure the smooth and efficient management of daily business activities. This role requires discretion, strong organizational skills, business acumen, and the ability to operate in a fast-paced consulting environment.

The PA will act as a gatekeeper, coordinator, and trusted support partner to the Managing Partner, ensuring optimal time management, communication flow, and execution of priorities.

Responsibilities:

1. Executive Support

  • Manage and coordinate the Managing Partners calendar, appointments, meetings, and travel arrangements.
  • Prioritize and screen correspondence (emails, calls, documents) and respond where appropriate.
  • Prepare briefing materials, presentations, reports, and meeting agendas.
  • Take accurate minutes during meetings and ensure timely follow-up on action items.
  • Track deadlines and ensure key deliverables are met.

2. Communication & Stakeholder Coordination

  • Act as the primary liaison between the Managing Partner and internal/external stakeholders.
  • Coordinate meetings with clients, partners, vendors, and staff.
  • Maintain professional and confidential communication at all times.
  • Support client-facing engagements when required.

3. Operational & Administrative Management

  • Assist in managing business priorities, projects, and strategic initiatives.
  • Monitor ongoing projects and provide status updates.
  • Organize company events, team meetings, and leadership sessions.
  • Maintain organized filing systems (physical and digital).

4. Confidentiality & Governance

  • Handle sensitive information with strict confidentiality.
  • Support preparation of contracts, official letters, and internal documentation.
  • Ensure compliance with company policies and documentation standards.

5. Personal Support (as required)

  • Assist with personal scheduling matters related to the Managing Partner.
  • Coordinate logistics for travel, events, and key engagements.

Requirements:


1. Qualifications

  • Diploma or Bachelors Degree in Business Administration, Management,
  • Communications, or related field.
  • Minimum 2–4 years of experience in an Executive Assistant / Personal Assistant role (preferably in consulting or professional services environment).

  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • High level of discretion and integrity.
  • Ability to multitask and manage competing priorities.
  • Strong problem-solving ability and proactive mindset.
  • Proficient in Microsoft Office / Google Workspace.
  • Comfortable working in a fast-paced and dynamic environment.
