Job Purpose
- Seeking highly organized, meticulous and resourceful Personal Assistants to support senior management with executive, personal and administrative matters, providing responsive day-to-day support with professionalism and discretion. The hands-on role includes schedule and travel management, confidential record keeping and, for one position, accounting and payment support. Requires strong numerical ability, independence and flexibility.
Key Responsibilities:
- Provide comprehensive executive, personal and administrative support to ensure the smooth and efficient operation of the Executive's Office.
- Manage schedules, appointments, meetings, flights, visas, accommodation, transportation and travel arrangements.
- Coordinate personal and business arrangements, including airport transfers, drivers, meals and other requirements during local and overseas visits.
- Arrange and coordinate visits, meetings and engagements with universities, business partners, guests and external parties.
- Anticipate requirements, monitor follow-ups and ensure instructions and commitments are carried out promptly and accurately.
- Maintain organized and confidential records relating to personal, business and financial matters.
- For one position: handle payment records, expense records, account documentation, banking/payment-related matters and other financial administrative duties.
- Provide Mandarin translation and communication support when required.
- Handle urgent and ad-hoc matters professionally as assigned, including reasonable flexibility outside normal working hours when required.
Requirements:
- Bachelor's Degree, Diploma or Professional qualification in any relevant discipline.
- Minimum 3 years of relevant experience in Personal Assistant, Executive Assistant, Secretary, Accounts or similar support roles.
- For the accounting-focused position: Accounting, Finance or related qualification, with practical experience in accounts, payments, banking transactions or financial record-keeping.
- Strong numerical ability and attention to detail.
- Good Microsoft Office skills, particularly Excel, and comfortable using digital tools and technology.
- Highly organized with strong ability to anticipate, prioritize, coordinate and follow through.
- Good written and verbal communication skills, with confidence dealing with senior management and external parties.
- Mature, discreet and trustworthy, with the ability to handle confidential personal, business and financial information.
- Calm, adaptable and resourceful when priorities change or urgent matters arise.
- Mandarin proficiency is an advantage.
- Willing to work in Johor Bahru-Iskandar Puteri
