Job Description

PMO Specialist

Role Summary

Support the Transformation Management team by ensuring proper project governance, reporting, and alignment across all projects.

Key Responsibilities

Governance & Reporting

  • Maintain PMO calendars, schedule meetings, take minutes, and follow up on action items.
  • Compile and analyze information for PMO meetings and reporting.
  • Maintain accurate financial records and PMO documents.
  • Track project performance metrics and share insights with the Reporting Manager.
  • Prepare documentation for internal teams and stakeholders.

Project Monitoring

  • Track project pipeline to ensure timely start and completion.
  • Update and maintain key project data in central tools.
  • Review project schedules, budgets, and baseline data to ensure accuracy.

Resource & Capacity Planning

  • Review and validate resource and capacity data.
  • Produce regular capacity and resource reports.

Project Governance

  • Meet PMs regularly to review project progress, risks, and issues.
  • Support budget development and monitor cost utilization.
  • Maintain project plans, SteerCo minutes, cadence meeting notes, and executive reports.
  • Facilitate issue resolution and update plans when needed.

Management Reporting

  • Coordinate report preparation with PICs.
  • Review consolidated reports to ensure clarity, accuracy, and insights.

Team Collaboration & Communication

  • Manage communication and alignment across project managers.
  • Assist in preparing presentation materials for stakeholder meetings (e.g., SteerCo).

Qualifications

Education

  • Bachelor's Degree in IT, Computer Science, or related field.
  • Project management certification is an advantage.

Experience

  • Minimum 5 years in a PMO role, ideally supporting 5+ PMs.
  • Strong knowledge of Waterfall, Agile, and Kanban.
  • Experience with JIRA, MS Project, and project financials (capex/opex, budgeting).

Skills

  • Strong communication and stakeholder management skills.
  • Good Excel skills for analysis, forecasting, and reporting.
  • Excellent organization, attention to detail, and multitasking abilities.
  • Critical thinking, problem-solving, and advisory skills.
