Job Description

We are looking for a proactive and detail-oriented Procurement & Production Planning Executive to manage material sourcing, purchasing, inventory planning, and production scheduling. This role also oversees non-production purchases, including office supplies, marketing materials, and other operational requirements.

You will play an important role in ensuring materials are available on time, production runs according to plan, costs are effectively managed, and customer orders are fulfilled without delay.

Key Responsibilities
  • Develop and maintain production schedules based on sales forecasts, confirmed orders, inventory levels, production capacity, and material lead times.
  • Translate demand forecasts into material requirements and procurement plans.
  • Source, evaluate, negotiate, and purchase raw materials, packaging materials, and other supplies according to quality, cost, quantity, and delivery requirements.
  • Prepare and issue purchase orders, ensuring all product specifications, quantities, pricing, and delivery details are accurate.
  • Coordinate closely with production teams to confirm production capacity, priorities, and timelines.
  • Monitor production progress and promptly communicate any delays, material shortages, or changes to the relevant departments.
  • Track raw material and packaging inventory to maintain appropriate safety-stock levels and prevent shortages, overstocking, expiry, or obsolete inventory.
  • Monitor supplier lead times, minimum order quantities, pricing, delivery performance, and product quality.
  • Identify and qualify alternative suppliers to reduce supply-chain risks and improve cost efficiency.
  • Build and maintain strong supplier relationships while conducting regular supplier performance evaluations.
  • Liaise with QA/QC teams to ensure suppliers and materials comply with company specifications and applicable ISO 22000, HACCP, MeSTI, and Halal requirements.
  • Coordinate with warehouse and logistics teams to ensure materials are delivered, received, and available according to the production plan.
  • Manage procurement for non-production requirements, including office supplies, marketing materials, events, maintenance items, and other operational needs.
  • Identify cost-saving opportunities without compromising product quality, food safety, or operational efficiency.
  • Maintain accurate procurement records, supplier quotations, purchase orders, contracts, material specifications, and production schedules.
  • Prepare weekly and monthly reports covering procurement status, inventory risks, supplier performance, production planning, and outstanding issues.
  • Support stock counts, inventory reconciliation, and internal or external audits when required.
  • Perform other procurement and production-planning duties assigned by management.

Requirements
  • Diploma or Degree in Supply Chain Management, Procurement, Business Administration, Food Technology, Operations Management, or a related field.
  • Minimum 2 years of relevant working experience in procurement, material planning, or production planning, preferably within the food or FMCG manufacturing industry.
  • Strong negotiation, sourcing, and supplier-management skills.
  • Good understanding of inventory planning, production scheduling, lead times, and material requirements planning.
  • Proficiency in MRP/ERP systems and Microsoft Office, particularly Microsoft Excel.
  • Strong organisational, analytical, numerical, and problem-solving abilities.
  • Good attention to detail, particularly when reviewing purchase orders, quantities, specifications, and delivery schedules.
  • Basic knowledge of food-safety, quality, and regulatory requirements related to material procurement.
  • Able to work under tight deadlines, manage multiple priorities, and respond effectively to changes.
  • Strong communication and cross-functional coordination skills.
  • Proficiency in English and Bahasa Malaysia is required. Mandarin proficiency will be an advantage
