RESPONSIBILITIES
Role Purpose
As the Programme & Admin Executive, you will support the implementation, coordination and administration of programmes and engagement initiatives within the Family & Community Support Division. This includes ElevatED!, staff and stakeholder engagements, clinical and professional development initiatives, training activities and other divisional projects.
You will work closely with Directors, programme leads, internal departments and external partners to ensure programmes and divisional activities are effectively coordinated, supported and delivered. You will also provide admin & operational support to enable smooth divisional operations.
Roles & Responsibilities
Programme Implementation & Coordination
- Coordinate end-to-end delivery of divisional programmes and initiatives, including ElevatED! and training activities
- Administer programme applications, participant records, eligibility documentation and disbursements.
- Liaise with beneficiaries and participants on programme matters and follow-ups.
- Track programme milestones, participation, deliverables and follow-up actions.
- Support monitoring and evaluation through data collection, feedback collation, basic analysis and reporting.

Engagement & Stakeholder Coordination
- Coordinate divisional staff, beneficiary, community and stakeholder engagements
- Liaise with internal departments, community partners, vendors and external stakeholders to support smooth programme delivery.
- Work with relevant internal teams on programme and engagement communications and publicity, and support other cross-departmental activities
- Maintain engagement records, attendance and feedback
Divisional Administration
- Support Directors with reports, presentations, data tracking and analysis, and audit documentation.
- Coordinate meetings, Focus Group Discussions and training sessions - scheduling, materials, minutes and follow-up actions.
- Maintain records for staff professional development, training attendance and divisional activities.
- Support clinical engagements, staff development and evaluation exercises.
Operational Support
- Process and track purchase requisitions/orders, invoices, payments and reimbursements.
- Monitor programme expenditure and maintain records for reconciliation, reporting and audit.
- Coordinate with vendors and internal departments for timely procurement and payment.
- Maintain accurate programme, financial and administrative records, and prepare relevant documentation as part of audit preparation.
- Diploma or Degree in Business Administration, Programme Management, Social Services, Events Management or a related discipline.
- At least 3 years of relevant experience in programme coordination, administration, operations, events or administrative support
- Experience in the social service, community, education or beneficiary-facing sector preferred.
- Ability to manage multiple programmes, timelines and priorities while maintaining accurate programme, financial and administrative records.
- Good problem-solving and critical-thinking skills, with the initiative to address and improve on operational issues.
- Strong written and verbal communication skills, with an empathetic, service-oriented approach to engaging people from diverse backgrounds.
- Able to work independently with a high level of accountability and ownership, while collaborating effectively across teams and stakeholders.
- Comfortable travelling across work locations and providing on-site support for programmes and engagements when required.
- Proficient in Microsoft Office, particularly Outlook, Teams, Word, PowerPoint and Excel.
