Job Description

Project Manager & Administrative Assistant

Gecko Digital, part of Igotopia, is looking for an organised, ambitious and proactive Project Manager & Administrative Assistant to join our growing international team in Kuala Lumpur.

This is an opportunity to work behind the scenes with some of the world's most prestigious luxury hotels and resorts, helping deliver digital experiences that showcase extraordinary properties across the globe.

We're a small, ambitious and fast-growing company, which means this isn't a role where you'll simply be handed a list of tasks and told to get on with them.

You'll have the opportunity to take ownership, work directly with our production and management teams, communicate with luxury hospitality clients, and gain exposure to everything from photography and videography to 360° virtual tours, sales, marketing and cutting-edge hospitality technology.

If you're looking for a predictable desk job, this probably isn't it.

If you're organised, curious, ambitious and excited by the idea of working in an international company where every day can be different, we'd like to hear from you.

About Gecko Digital

Gecko Digital is a leading creator of immersive digital content for the luxury hospitality industry.

We work with some of the world's finest hotels, resorts and hospitality brands, producing 360° virtual tours, photography, videography and digital experiences that help our clients market, sell and showcase their properties around the world.

Our work takes us across multiple continents and into some of the most extraordinary hotels and resorts in the world.

As part of Igotopia, we're building a growing international technology and hospitality group focused on creating innovative digital products and experiences for the luxury travel industry.

We're still a relatively small team, which is exactly what makes this exciting. Everyone has the opportunity to make an impact, take ownership of their work and grow alongside the business.

The Role

We're looking for someone who can help keep our projects, clients and internal operations running smoothly.

You don't need years of project management experience. In fact, we're more interested in your attitude, organisation, communication skills, curiosity and potential.

You'll work closely with our production and management teams to ensure projects move efficiently from completion through post-production and final delivery.

You'll also support client communication, administration, sales research and a variety of operational tasks across the business.

No two days are likely to be exactly the same.

One day you could be coordinating a photography project for a luxury resort in the Maldives. The next, you could be communicating with an editor, updating project schedules, preparing a report, researching a new hotel prospect or helping the management team solve an operational problem.

We're looking for someone who enjoys that kind of variety.

What You'll Be Doing

Project Coordination
  • Coordinate multiple content production projects simultaneously
  • Track project progress, deadlines and deliverables
  • Liaise with photographers, editors and production staff
  • Help ensure projects move efficiently from production through post-production and delivery
  • Follow up on outstanding tasks and keep projects moving
  • Identify potential issues before they become problems
  • Keep project information, schedules and documentation organised
  • Support the management team with day-to-day project coordination

Client Communication
  • Communicate with luxury hotel clients via email and phone
  • Schedule meetings and coordinate project timelines
  • Provide project updates and follow up on outstanding information
  • Handle general client enquiries
  • Build positive relationships with clients and production partners
  • Help ensure an excellent customer experience throughout every project

You'll have the opportunity to communicate with hospitality professionals around the world and develop valuable experience working with international luxury brands.

Administrative & Operational Support
  • Maintain company databases and project records
  • Organise project files and documentation
  • Prepare reports and spreadsheets
  • Assist with internal systems and processes
  • Support management with day-to-day operational tasks
  • Help improve the way we organise and manage projects
  • Carry out general administrative duties where required

Sales & Business Development Support

You'll also gain exposure to the commercial side of the business, including:

  • Researching luxury hotels, resorts and tourism businesses
  • Identifying potential new clients and sales opportunities
  • Generating and qualifying sales leads
  • Maintaining CRM records
  • Assisting with email and outreach campaigns
  • Preparing information for sales meetings
  • Supporting the sales team with administrative tasks

This is a great opportunity to learn how an international B2B hospitality business actually operates — from finding a potential client through to delivering a project.

Team Support

We're a growing company, and everyone helps where needed.

You may occasionally find yourself supporting tasks outside your core responsibilities. That's part of what makes working in a small, ambitious company different.

It also means you'll have the opportunity to learn about different areas of the business and develop skills that aren't necessarily part of a traditional administrative role.

Who We're Looking For

We're much more interested in attitude and potential than a perfect CV.

You could be an experienced administrator looking for something more exciting, a recent graduate looking for your first opportunity, or someone from a completely different background who believes they have the organisation, personality and drive to succeed.

You'll be a great fit if you are:

  • Highly organised and naturally detail-oriented
  • Proactive and able to take initiative
  • Comfortable managing multiple tasks at once
  • A strong communicator in written and spoken English
  • Confident communicating with different types of people
  • Comfortable using spreadsheets, databases and online software
  • Reliable and capable of managing deadlines
  • Curious and eager to learn
  • Positive, adaptable and willing to get involved
  • Comfortable working independently but also as part of a small team
  • Someone who takes ownership rather than waiting to be told what to do

Most importantly, we're looking for someone with personality, ambition and potential.

We want people who are curious about the world, excited to learn and motivated to build something rather than simply turn up and complete a list of tasks.

Experience

The following would be beneficial but is not essential:

  • Administrative or office experience
  • Project coordination experience
  • Customer service or client-facing experience
  • Sales administration or lead generation
  • Experience with Microsoft Office or Google Workspace
  • Experience working with CRM systems
  • Experience in hospitality, tourism, travel, media or technology

Full training will be provided.

We're not looking for someone who already knows everything.

We're looking for someone who learns quickly.

What Makes This Role Different

This isn't a traditional administrative position.

Depending on your role and how you develop within the company, working at Gecko Digital could mean:

  • Working with some of the world's most prestigious luxury hotels and resorts
  • Communicating with hospitality professionals across multiple continents
  • Getting exposure to international projects
  • Working alongside photographers, videographers, developers, sales professionals and hospitality experts
  • Learning about 360° photography, virtual tours, 3D technology and immersive digital experiences
  • Gaining experience across project management, operations, sales and business development
  • Being part of a growing international company
  • Taking on increasing responsibility as you develop
  • Having the opportunity to build a career rather than simply fill a position

And because we're a relatively small team, your contribution will actually be noticed.

What We Offer

  • Competitive salary
  • Training and career development
  • A supportive and friendly working environment
  • Exposure to some of the world's most prestigious luxury hotels
  • International projects and clients
  • Exposure to cutting-edge digital and hospitality technology
  • A varied role where no two days are the same
  • Genuine opportunities to progress as the company grows
  • The opportunity to be part of an ambitious international business

Why Join Gecko Digital

We're building something exciting.

We're not a huge corporation where you'll disappear into a department of hundreds of people. We're a growing international company where the people who join us early have the opportunity to play a meaningful role in shaping what comes next.

We're looking for people with curiosity, confidence, ambition and an unwavering willingness to learn.

If you're someone who wants to take ownership, develop new skills and see where your career can take you, this could be an opportunity worth taking.

This isn't necessarily a job for someone who already has all the answers.

It's a job for someone who wants to learn, contribute and grow.

Think you've got what it takes

We're deliberately looking for the right person rather than simply trying to fill a position.

If you're organised, motivated, curious and think you'd thrive in an unusual, fast-moving company, we'd love to hear from you.

Give us a reason to remember you.

Apply today and tell us why you think you could be the next person to join the Gecko Digital team.
