Job Description

Project Operations Executive

Company: Rooftop Energy Tech Sdn Bhd

Team: Operations

Reports to: Operations Manager

Location: Dataran Prima, Petaling Jaya, with travel to project sites across Peninsular Malaysia, Sabah and Labuan

Type: Full-time

About the Role

Rooftop Energy runs a growing pipeline of commercial and industrial solar Engineering, Procurement and Construction (EPC) projects. Every one of them depends on authority approvals, purchase orders and invoices being right and on time. A late permit holds up a site. A purchase order raised without approval cannot be paid. An invoice that does not match its delivery order sits unpaid.

The Project Operations Executive owns that work. The role sits in Operations and serves the EPC pipeline, so the Project Engineers can spend their time on design, sizing, testing and commissioning.

Licences and permits are the centre of the role. Purchase orders and invoicing come second, with project coordination running through both.

About the Group

Dyna (Dynasynergy Technology Sdn Bhd) was founded in 2002 and provides off-grid, solar-hybrid and grid-connected power solutions to telecommunications companies, state utilities and large industrials across Peninsular Malaysia, Sabah and Sarawak. Anchor customers include SESB, U Mobile, Maxis, Sarawak Digital Economy Corporation and the Royal Malaysian Navy. Certifications include Suruhanjaya Tenaga Class A, CIDB G7 and ISO 9001:2015.

Rooftop Energy, founded in 2025, is Dyna's solar subsidiary. It delivers commercial and industrial solar EPC projects and runs RooftopIQ, a Software-as-a-Service (SaaS) platform that automates solar proposals and simplifies asset management.

What You Will Do

Licences and permits

  • Own every regulatory submission tied to a Rooftop Energy project: TNB grid connection applications through eAtap, Suruhanjaya Tenaga (ST) licence applications and registrations, Green Investment Tax Allowance (GITA) filings, and any other permit a project needs.
  • Track each application from preparation through submission to approval. Keep a live register of status, fees paid, approval dates and expiry dates.
  • Renew licences and registrations before they lapse. An expired licence takes Rooftop Energy out of tenders, so renewal dates are yours to watch.
  • Tell the Project Engineers and the Operations Manager early when an authority sits on a project's critical path.
  • Prepare the document packs each submission needs, and follow up with authority desks until each one is closed out.

Purchase orders

  • Create purchase orders against approved bills of materials and approved purchase requests.
  • Track delivery dates against project schedules and chase suppliers on delays and discrepancies.
  • Record goods received against delivery orders, and keep warehouse stock visible so Project Engineers and site teams know what is available and what is in transit.
  • Protect project margins by checking prices, quantities and terms before an order goes out.

Invoicing

  • Match supplier invoices to the purchase order and the delivery order before they go to Finance for payment.
  • Prepare invoicing documents for client billing against project milestones, and track each invoice from issue to payment.
  • Keep purchase order, delivery order and invoice records complete, so Finance and the Operations Manager can trace any project cost.

Project coordination

  • Coordinate between clients, Project Engineers, subcontractors, the warehouse, Finance and, where IoT is involved, the Devices and software teams.
  • Set and chase deadlines, run project-level updates and make sure no detail falls between handoffs.
  • Support site visits where coordination is needed, and help clear administrative or supply-side blockers.

Process

  • Document the licensing, purchasing and invoicing workflows as you take them on. Build the checklists and templates for submissions, supplier interactions and project handoffs.
  • Work with the Operations Manager on coordination and procurement, and take on other tasks the Operations Manager assigns.

What We Are Looking For

Must have

  • A degree or diploma in Electrical, Mechanical or Renewable Energy Engineering, or equivalent practical experience.
  • At least one year of experience in solar, electrical, construction or another project-based industry.
  • Working knowledge of Malaysian electrical authority processes, including TNB connection through eAtap and ST registration.
  • Strong organisation and follow-through. Trackers, checklists and submissions do not slip on your watch.
  • Comfort coordinating clients, subcontractors, suppliers and internal teams.
  • Strong written and spoken English and Bahasa Malaysia.
  • Willingness to travel to project sites across Malaysia.

Good to have

  • Direct experience preparing and tracking eAtap, ST and GITA submissions.
  • Experience with purchase orders, delivery orders, supplier invoices or accounts payable processes.
  • Familiarity with bills of materials and warehouse stock records.
  • Exposure to Grid-Connected Photovoltaic (GCPV) systems.
  • Google Workspace fluency (Sheets, Docs, Drive).

Who You Are

  • Organised by default. You like checklists, trackers and clean handoffs.
  • Comfortable chasing subcontractors, suppliers and authority desks until something is closed out.
  • Careful with documents and numbers. A wrong figure on a purchase order or a missing page in a submission is something you catch before it leaves your desk.
  • Calm with 10 or more live submissions and orders at once.
  • Interested in how projects get delivered, as well as how they get designed.

Why Join Us

  • Real pipeline, real volume. A growing project pipeline and an expanding commissioned portfolio give you plenty to own.
  • A wide view of how a solar EPC runs. You work with clients, subcontractors, suppliers, authorities and internal teams.
  • Room to grow. As the function matures, the role is a route into project coordination or a Project Engineer seat.
  • Direct access. A direct line to the Operations Manager and visibility to the Chief Executive Officer.

What You Get

  • Hybrid working, office-anchored with day-to-day flexibility
  • Flexible hours, with no clock-in or clock-out
  • Annual leave, plus flexible unlimited leave on top, subject to approval
  • Medical, dental and hospitalisation coverage
