Role Purpose

This role is responsible for safeguarding company assets by ensuring strong inventory accuracy, disciplined cash handling, and operational compliance across all retail stores and warehouses. The role oversees loss prevention controls end-to-end, conducts audits, analyses discrepancies, and provides actionable insights to reduce shrinkage, minimize operational risk, and support sustainable retail growth.

Key Responsibilities

1. Inventory Control & Stock Accuracy

Plan, monitor, and manage the full cycle of physical stock take processes across all retail stores and warehouses, ensuring procedural compliance and high accuracy.

Verify system inventory against physical on-hand stock through scheduled and ad-hoc checks.

Review and validate all stock movements, including receiving, transfers, adjustments, write-offs, and returns.

Conduct deep-dive analysis into inventory discrepancies to identify root causes of stock loss (shrinkage), including administrative errors, process gaps, and internal or external theft.

Identify high-risk SKUs and stores through variance analysis and shrinkage trend monitoring.

Review and audit stock write-offs, including damaged, expired, and demo/tester items, to ensure proper authorization, documentation, and physical disposal or control.

2. Cash Handling & Financial Controls

Review daily and weekly cash reconciliation reports to ensure accuracy and completeness.

Monitor store cash-on-hand levels and ensure compliance with approved cash holding limits.

Verify timely bank-in of cash and investigate delayed, missing, or incorrect deposits.

Ensure proper maintenance and accuracy of cash logs, reconciliation files, and supporting

documentation.

Flag cash handling irregularities and follow up with stores on corrective actions in collaboration with Operations and Finance teams.

3. Audit, Compliance & Risk Management

Plan and conduct store and warehouse audits covering inventory control, cash handling, and operational compliance.

Document audit findings clearly, assess risk severity, and track corrective action follow-ups.

Monitor store adherence to company SOPs by reviewing submitted checklists, reports, and supporting evidence.

Identify systemic risks and recommend preventive controls to strengthen governance and reduce future loss exposure.

Maintain clear audit trails and documentation to support internal and external audit requirements.

4. Data Analysis, Reporting & Management Insights

Oversee the collection, compilation, and validation of operational data, including inventory, stock movements, cash records, and relevant sales indicators.

Prepare comprehensive weekly, monthly, and annual reports with KPIs, trend analysis, risk flags, and insights.

Develop clear, data-backed recommendations for senior management to address recurring issues and control gaps.

Coordinate and prepare dashboards, data decks, and action trackers for management and operational review meetings.

5. Process Improvement & SOP Governance

Design, implement, and enhance operational processes and SOPs aimed at preventing stock loss and improving inventory and cash control.

Review existing SOPs regularly and recommend improvements based on audit findings and operational realities.

Monitor the effectiveness of implemented controls and refine processes as needed.

6. Stakeholder Management & Capability Support

Serve as a liaison between management, stores, warehouses, and cross-functional teams to communicate loss prevention policies and control requirements.

Support the development of training materials related to inventory control, cash handling, and loss prevention awareness.

Work closely with Operations, Finance, to embed loss prevention discipline into daily routines.

Ensure professional and well-coordinated communication for initiatives involving multiple

departments.

7. Projects & Ad Hoc Assignments

Manage ad hoc loss prevention, audit, or operational projects aligned with business objectives and within defined timelines.

Support new store openings, system changes, or process rollouts from a loss prevention and control perspective.

Requirements

Strong foundational understanding of inventory flow, stock movement, and operational control principles.

Solid knowledge of retail or warehouse stock movement, cash handling processes, and audit controls.

Strong analytical and diagnostic skills with the ability to identify patterns, risks, and root causes of discrepancies.

Strong working proficiency in MS Excel (e.g. Pivot Tables, lookups, basic formulas) and comfort working with data, reports, and dashboards.

Proven ability in process management and improvement, including identifying control gaps and implementing scalable solutions.

Working knowledge of loss prevention and inventory control practices, including common shrinkage drivers and stock take methodologies.

Strong communication skills with confidence to engage store teams and cross-functional stakeholders.

Detail-oriented, structured, and able to work independently with a high level of integrity.

Minimum 2+ years experience in inventory control, audit, finance, loss prevention, retail or warehouse operations, or related roles.

Required to conduct regular store and warehouse visits, including physical stock counts and audit activities.
