Position Summary
The Sales Administrator plays a key role in supporting the sales team and ensuring smooth end-to-end order fulfillment. This position is responsible for processing sales orders, coordinating logistics between internal and external, managing stock availability, and handling claims and after-sales support.
You will play an essential role to:
1.Sales Order Processing
- Process and manage customer orders through the internal system (e.g. ADAMS).
- Ensure pricing, product codes, and customer information are correct before confirming orders.
- Coordinate with internal departments (e.g., warehouse, finance) to ensure timely and accurate order fulfillment.
2.Stock Status Management
- Monitor and update stock levels to ensure availability for incoming orders.
- Coordinate with the warehouse or inventory team on stock discrepancies or replenishment needs.
- Provide regular stock reports to the sales team and management.
3.Logistics Liaison
- Coordinate shipping schedules and delivery arrangements with logistics providers.
- Track shipments and provide delivery status updates to customers and internal stakeholders.
- Resolve any transportation or delivery issues promptly.
4.Claim Submission and Follow-up
- Handle product claims (e.g., damaged goods, delivery errors) from customers.
- Validate and submit invoices / claims / DN / CN to internal portal for internal finance to process.
- Follow up on claim resolutions and ensure timely communication with affected parties.
5.Administrative Support
- Prepare and maintain sales contracts, agreements and customer documentation.
- Track sales target and provide accurate reports to sales team.
- Support ad-hoc administrative tasks as required by the sales or operations team.
- Support planning and execution of sales events and trade activities.
6.Other duties as assigned by the company / management, in accordance with business needs
To be successful in this role, you will need to have:
- Diploma or Degree in Business Management/Business Administration/Event management or any relevant discipline
- Minimum 1 year working experience and fresh graduates are welcome to apply.
- High attention to details and accuracy
- Strong organizational and time management skills
- Must be mature, integrity and trustworthiness for managing confidential information
- Good communication skills in both written and oral.Ability to effectively communicate and deal with all levels both internally and externally
- Should have a pleasant personality and interpersonal skills
- Must possess strong English language skill.Proficiency in Bahasa Malaysia and Mandarin language skills are desired but not mandatory
- Must have strong knowledge in Microsoft Office that is Word, Excel, PowerPoint, and Outlook
- Good problem-solving skills and able to offer solutions with high level of common sense and logic
- Excellent ability to manage several tasks simultaneously
