Job Description

The Sales Administration Manager is responsible for leading the Sales Administration and Sales Coordination team to ensure efficient execution of sales support activities, accurate documentation, and effective coordination between the Sales team and internal departments. This role oversees the day-to-day operations of the sales support function, ensuring smooth order processing, timely reporting, and strong operational support for the Sales Department.

Key Responsibilities:

Team Leadership & Supervision

  • Lead, supervise, and support the Sales Administration and Sales Coordination team in daily operations.
  • Allocate tasks and manage team workload to ensure timely and accurate completion of duties.
  • Provide coaching, guidance, and training to Sales Admin and Sales Coordinators to improve performance and efficiency.
  • Monitor team performance, service quality, and compliance with company procedures.
  • Foster collaboration between Sales Admin, Sales Coordinators, and the Sales team.

Administrative & Operational Oversight

  • Oversee day-to-day administrative and coordination support provided to the Sales Department.
  • Ensure proper preparation, accuracy, and maintenance of sales documents, reports, and records.
  • Monitor filing systems and ensure proper documentation of sales activities.
  • Review sales presentations, proposals, and supporting materials prepared for the Sales team.

Sales Coordination & Order Management

  • Oversee coordination between Sales, Finance, Supply Chain, Marketing, and Trade Marketing to ensure smooth order processing and delivery.
  • Supervise the sales order management process, ensuring orders are processed accurately and efficiently.
  • Monitor order status, delivery schedules, and resolve operational issues when required.
  • Support the Sales team in coordinating promotions, campaigns, product launches, and customer activities.
  • Ensure Sales Coordinators effectively support the Sales team in day-to-day operational matters.

Reporting & Data Management

  • Oversee the compilation and analysis of sales data for management reporting.
  • Review periodic sales reports, dashboards, and performance updates.
  • Ensure the accuracy and integrity of sales databases, trackers, and reporting tools.

Compliance & Process Improvement

  • Ensure compliance with company policies, SOPs, and documentation standards within the sales support team.
  • Support audit preparation and ensure proper documentation is maintained.
  • Identify opportunities to improve sales administration and coordination processes to enhance efficiency and service quality.

Job Requirements

  • Diploma or Bachelor's Degree in Business Administration, Management, or related field.
  • Minimum 4–6 years of experience in sales administration, sales coordination, or commercial operations.
  • Experience in leading or supervising a team is preferred.
  • Experience in FMCG, distribution, or sales support environment will be an advantage.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint) and sales reporting tools.
  • Strong leadership, coordination, and organisational skills.
  • Good communication, stakeholder management, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced sales environment.
