Job Description

Responsibilities:

1.Equipment Selection and Costing Compilation for Applied & Unitary

Equipment Selection: Choose suitable equipment based on project needs and specifications.

Costing Compilation: Collect cost details, including quotes, taxes, shipping, and installation, and prepare cost reports.

2.Following Up on Technical Queries with Manufacturer & Vendor

Technical Queries: Resolve technical questions about equipment specs, performance, and installation by communicating with manufacturers and vendors.

Follow-Up: Ensure timely responses and keep records of all communications.

3.Order Management

COAP Compilation: Prepare Customer Order Acknowledgment Process documents with order details.

Enter Order to Factory: Submit and record orders for production.

Change Order: Manage and communicate any order changes.

Production Lead Time Follow-Up: Monitor production timelines and address delays.

Logistics Coordination: Arrange and track shipping and delivery of equipment.

GDI Arrangement: Ensure clear instructions for goods delivery.

4.Document Management for Costing, Delivery Order (DO), Billing, and Payment

Costing Documentation: Keep accurate records of costs, quotes, and invoices.

Delivery Order (DO): Prepare and manage delivery orders.

Billing: Handle invoicing, payment tracking, and resolve discrepancies.

Payment: Ensure timely payments to suppliers and vendors.

Requirement:

Education: Bachelor's degree in technical field (i.e. Engineering, HVAC, or related field).

Experience: Prior experience in order management, technical support, sales engineering role is an advantage, especially in the HVAC or industrial equipment industry.

Skills:

  • Strong technical acumen with the ability to understand and communicate technical concepts clearly.
  • Proficient in Microsoft Office, particularly Excel; experience with ERP or order management systems is a plus.
  • Excellent problem-solving and analytical skills.
  • Strong verbal and written communication skills to interact effectively with internal teams, suppliers, and customers.
  • Customer-focused mindset with the ability to handle multiple tasks and deadlines.
