Role Summary
We are seeking a proactive and highly organized Senior Associate & Document Control Assistant to join our Entity Management team. This dual-function role supports the full spectrum of corporate secretarial matters across multiple APAC jurisdictions while ensuring robust document control, governance hygiene, and administrative excellence.
This position offers hands-on exposure to regional entity management, cross-border governance, and multinational stakeholder engagement within a fast-paced and growing energy platform.
How You Will Make an Impact
Corporate Secretarial & Governance Support
- Support the Senior Corporate Entity Manager in managing the full spectrum of corporate secretarial matters for APAC entities, including restructurings, corporate actions, and statutory filings across the Blueleaf Group Entities.
- Coordinate and manage end-to-end board, investment committee, and general meetings, including preparation of agendas, board papers, and timely drafting of minutes.
- Assist with the incorporation, ongoing lifecycle management, and dissolution of group entities, working closely with external counsel, corporate secretarial service providers, auditors, and regulators.
- Ensure ongoing compliance with statutory and regulatory requirements across all jurisdictions, including maintenance of statutory registers and records.
Documentation & Execution
- Draft and prepare resolutions, statutory forms, meeting documents, and corporate records in both electronic and physical formats.
- Coordinate wet-ink and electronic execution of corporate documents with directors, shareholders, and external stakeholders.
- Facilitate notarisation, apostille, and legalisation of documents with notaries, consulates, and embassies in Singapore and Malaysia.
Document Control & Data Management
- Ensure all corporate secretarial documents are properly filed in SharePoint or relevant document management systems, in accordance with prescribed naming conventions and timelines.
- Maintain and update APAC entity trackers, timely update of the corporate secretarial software, and internal databases.
- Prepare and regularly update organisational charts at group and entity levels across APAC jurisdictions.
Administrative Support
- Provide administrative and operational support to the Entity Management and Legal team, including custody and safekeeping of original corporate documents in the Kuala Lumpur office.
- Support ad hoc projects and tasks as required.
What Makes You a Great Fit
- Bachelor's or master's degree in Law, business or related field or
- Qualified Company Secretary and member of the Institute of Chartered Secretaries in Malaysia
- 3 to 4 years professional experience in corporate secretarial functions, exposure to regional or international stakeholders is a strong advantage.
- Highly organised, detail-oriented, adaptable, and comfortable working in a dynamic environment.
- Strong written and verbal communication skills in English, with a professional and polished approach.
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint, Visio).
