What You'll Do
Statutory Compliance & Record Keeping
- Maintain and update statutory registers and records for the Group in compliance with applicable laws and regulations.
- Prepare and file statutory documents with relevant regulatory authorities accurately and on time.
- Ensure confidentiality and proper management of sensitive corporate documents.
- Plan, organise, coordinate, attend and record minutes, where necessary, at high-level meetings, including Shareholders and Board of Directors meetings.
- Compile and distribute meeting papers, agendas, and minutes in a timely manner.
- Liaise with executive secretaries of Directors and the Chief Executive Officer to ensure seamless meeting arrangements.
- Efficiency in minutes writing will be an added advantage.
- Draft reports, resolutions, and other corporate documents to support compliance and governance requirements.
- Assist in preparing annual reports and other regulatory submissions.
- Act as the Department Administrator, supporting operational efficiency and workflow management.
- Provide administrative and secretarial support to Company Secretaries in discharging their duties.
- Identify opportunities to streamline secretarial processes and enhance service delivery.
- Stay updated on changes in corporate governance and regulatory requirements to ensure compliance.
Who You Are:
Experience
- Minimum 5 years of relevant experience in company secretarial services or a legal firm, with a proven track record in statutory compliance and corporate governance. Experience in handling foreign companies will be an advantage.
- Experience coordinating high-level meetings and working with senior stakeholders is highly desirable.
- Diploma or degree in Corporate Administration or a related field.
- Professional qualification (e.g., ICSA/CGQP or equivalent) is an advantage.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with company secretarial software (e.g., CRS, MBRS, MYDATA, e-info, XBRL) is a plus.
- Excellent written and verbal communication skills, with proficiency in English.
- Strong interpersonal skills, with the ability to engage professionally with senior executives and stakeholders.
- Exceptional planning, organisational, and time-management skills, with a keen sense of urgency to meet deadlines.
- Mature, pleasant demeanour with a commitment to delivering high-quality, service-oriented work.
- Ability to handle multiple tasks under pressure while maintaining confidentiality and attention to detail.
- Knowledge of company secretarial practices and corporate governance principles.
